Position Summary
Join MHA as a Payroll Coordinator and become an essential member of our dedicated fiscal team. In this role, you will work alongside the other Payroll Coordinator in ensuring accurate, timely payroll processing for our 800+ employees, ensuring smooth operations and employee satisfaction. Collaborate closely with our other Payroll Coordinator and HR team to ensure accuracy and compliance in all payroll and benefits data, fostering strong cross-departmental connections. This role will also be heavily involved in reporting functions of payroll including creating, validating, and communicating reported figures/data to the organization and Sr. Leadership. This position is fully in-person at your corporate office in Chicopee, MA.
Pay Rate: $30 an hour
Open Shift: Monday through Friday 9am-5pm (40hrs), in person
Key Responsibilities
- Process weekly payroll, ensuring timely payments to all employees in accordance with relevant laws and regulations.
- Process Change of Status forms for employee changes in the Payroll system.
- Follow up with employees and supervisors on timecard discrepancies.
- Maintain and update employee payroll information by collecting, calculating, and entering data accurately.
- Address and resolve payroll discrepancies and respond promptly to payroll-related inquiries from staff.
- Prepare payroll activity reports, covering earnings, taxes, deductions, leave, disability, and non-taxable wages.
- Work closely with the other Payroll Coordinator and HR department to ensure seamless integration of payroll and benefits data.
- Reconcile withholding accounts in accounting system to payroll system, address discrepancies.
- Assist management staff with training on timecard entry, adjustments, and time-off requests.
- Stay up-to-date on changes in payroll systems, tax regulations, and compliance requirements to implement necessary updates.
- Conduct regular audits and reconciliations of payroll accounts to verify the accuracy of financial records.
- Assist with statutory filings and other periodic reporting as required by law.
- Create, validate, maintain, update various reports and communicate data to the organization as needed.
- Perform projects & other duties as assigned by supervisor.

Requirements
- Bachelor’s degree in a related field or at least two years of payroll experience required. Proficiency in processing payroll for a diverse workforce and adaptability to various payroll software systems.
- Experience with ADP payroll software (WorkForce Now and WorkForce Manager) strongly preferred.
- Intermediate Excel experience required for means of report creation, maintenance, and data validation/analysis (VLOOKUP/XLOOKUP, PivotTables, logical functions (IF, SUMIF, Nested IF statements)).
- Demonstrated ability to ensure accurate and efficient payroll processing.
- Knowledge of federal, state, and local payroll laws and regulations with the ability to interpret and apply them to maintain compliance.
- Professionalism and confidentiality in handling employee inquiries related to payroll matters.
- Proven ability to find errors, solve problems, and manage time to meet strict, time-sensitive deadlines.
- Expertise in maintaining accurate payroll records and documentation to support audits and uphold internal controls.
- Software and general adaptability, organization, and versatility.
- Collaborative approach to working with the other Payroll Coordinator and HR team.
- Keen attention to detail and proactive, yet friendly approach is a must.
