Job DescriptionThe Payroll Supervisor is responsible for overseeing the accurate and timely processing of payroll for the organization while ensuring compliance with all federal, state, and local payroll regulations. This role partners closely with Finance, HR, and external payroll providers to maintain strong payroll controls, support multi‑state payroll compliance, and continuously improve payroll processes in a growing, mid‑sized distribution environment.Key ResponsibilitiesPayroll Processing & Administration
- Manage end‑to‑end payroll processing for hourly and salaried employees, including regular, off‑cycle, bonus, and special payrolls.
- Ensure payroll is processed accurately, timely, and in compliance with company policies and applicable laws.
- Review and approve payroll registers, payroll reconciliations, and payroll journal entries prior to posting.
- Oversee time and attendance data validation, including overtime, PTO, and other earnings and deductions.
- Ensure compliance with federal, state, and local payroll tax regulations, including multi‑state withholding requirements.
- Coordinate payroll tax filings, W‑2 processing, year‑end reporting, and responses to payroll tax notices.
- Partner with Finance and Tax leadership on payroll‑related audits and compliance reviews.
- Maintain up‑to‑date knowledge of payroll laws, wage and hour regulations, and best practices.
- Serve as the primary payroll system owner, ensuring data integrity between payroll, HRIS, and ERP systems.
- Establish and maintain strong payroll controls, documentation, and internal procedures.
- Identify opportunities to streamline payroll processes through automation, system enhancements, and improved workflows.
- Support system implementations, upgrades, and testing related to payroll and timekeeping platforms.
- Collaborate closely with HR on new hires, terminations, compensation changes, benefits deductions, and employee data management.
- Partner with Accounting and FP&A to ensure accurate payroll accruals, reconciliations, and financial reporting.
- Serve as a point of escalation for complex payroll questions and employee inquiries.
- Supervise and develop payroll staff (if applicable), providing guidance, training, and performance feedback.
- Foster a culture of accuracy, accountability, and continuous improvement within the payroll function.
- Ensure appropriate coverage, documentation, and cross‑training to support business continuity.
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred
- 5–8+ years of progressive payroll experience, including supervisory responsibility
- Experience processing multi‑state payroll in a mid‑sized or growing organization
- Strong understanding of payroll tax compliance, wage and hour laws, and payroll controls
- Experience working with third‑party payroll providers and integrated HRIS/ERP systems
- High attention to detail with strong analytical and reconciliation skills
- Ability to manage deadlines in a fast‑paced, operational environment
- Strong communication and interpersonal skills
- Proven ability to handle sensitive and confidential information with discretion
- Comfortable partnering across Finance and HR with a service‑oriented mindset
- CPP (Certified Payroll Professional) certification
- Experience in distribution, manufacturing, or project‑based environments
- Experience supporting payroll system implementations or conversions
