Job Description
Blackstone’s personal/administrative assistant to the president/owner is responsible for assisting in all things relating to administration, client relations, scheduling, errands and personal tasks between two companies. You must be a detailed, highly organized, energetic person, have relentless project management skills, and a get-it-done attitude! Also, due to our unique office environment, you must be able to work focused in an open, dynamic environment; at the marina, in the office or from home.
- Assists the president in various aspects of daily operations of his companies (marketing agency and yacht charters)
- Manages bookings, schedules, crew, agreements, payments and documents for charters
- Assists the president in personal scheduling, reporting and errands
- Manages and prioritizes email correspondence and communications on behalf of the president
- Collaborates with team members on specific needs pertaining to the president for each client and company projects
- Supports marketing initiatives, including social media, photoshoots and content creation
- Acts as a liaison between the president and clients, staff, crew and vendors
- Responsible for daily office needs
- Provides administrative support for special projects and events
- Handles confidential information with discretion and professionalism
- Helps oversee the maintenance, cleaning and organization of the office, yacht and workspace
Requirements
- Flexible and adaptable to shifts in priorities on a day to day basis - never a dull moment
- Ability to handle multiple priorities, strong organizational skills, and attention to detail
- Did we mention extreme attention to detail
- Able to grasp the overall functions of the day-to-day operations and anticipate needs
- Must be a get-it-done type of person who takes over responsibilities
- Exceptional people skills focused on relationships, communication, follow-up and collaboration
- A 2-year degree or experience in marketing, communication, yachting, advertising or related field
- Transportation, computer and typing skills a must
- Self-starter with a strong desire to learn and grow
- Proficient with Google Drive, Docs and Sheets
- Good understanding of office management
