Position Overview

We are seeking a detail-oriented, mature, and personable Administrative Assistant / Post-Sale Customer Experience Representative to serve as the essential bridge between our sales team and our customers. In this role, you will take ownership of the post-sale customer journey—handling administrative wrap-up duties, processing payments, coordinating financing, scheduling white-glove deliveries and pickups, and maintaining accurate records.

Our ideal candidate combines a warm, professional demeanor with strong administrative, mathematical, and computer skills to deliver a top-tier customer experience in a fast-paced retail environment.

Key Responsibilities

  • Transaction Completion & Payment Processing: Finalize sales transactions by collecting and securely processing payment details, balance deposits, and final invoices with high accuracy.
  • Financing Administration: Guide customers through financing paperwork, verify lender approvals, and ensure all terms and documentation are completely accurate.
  • Delivery & Pickup Scheduling: Coordinate delivery timelines and pickup schedules with customers and logistics teams to arrange prompt, convenient service.
  • Front-Desk Customer Interaction: Warmly greet customers, answer multi-line phones, and address inquiries with a friendly, professional attitude under pressure.
  • Office & Administrative Projects: Maintain meticulous records in CRM and office software, process customer mailings, write handwritten thank-you notes, scan documents, and perform pricing chart updates using Microsoft Excel.
  • Quality Assurance & Proofreading: Review and proofread marketing materials and order details with meticulous attention to detail.

Qualifications & Skills

  • Experience: 7–10+ years of professional experience in administrative support, customer service, or post-sale coordination. Retail experience is required; furniture or home furnishings background is a plus.
  • Education: Associate degree required; Bachelor’s degree highly preferred.
  • Technical & Math Proficiency: Strong Microsoft Excel skills (for pricing charts and office tracking), general computer literacy, proficiency with CRM/scheduling software, and comfortable working with basic math and standard calculators.
  • Handwriting & Communication: Excellent, clear handwriting is essential. Exceptional verbal and written communication skills with a professional, reassuring telephone manner.
  • Detail-Oriented: Exceptional accuracy when entering billing, financial, and customer data. Proven proofreading abilities.
  • Professionalism & Adaptability: Professional appearance, strong interpersonal skills, quick on your feet, and able to multitask and handle busy retail periods with a positive attitude.

Work Schedule & Hours

  • Workweek: 4 to 5 days per week (Tuesday through Saturday).
  • Off Days: Sunday and Monday.
  • Shift Times:
    • Tuesday, Wednesday, Thursday: 10:00 AM – 6:00 PM
    • Friday: 10:00 AM – 7:00 PM
