Job Description

The Development Assistant is a part-time (up to 28 hours per week), hourly position responsible for providing high level administrative, data, and donor services to the Development Department. This role is critical to the accuracy of our donor records and the quality of the donor experience.  Primary responsibilities include processing gifts, acknowledging donors, running financial and other data reports, and performing varied administrative duties. A high level of professionalism, flexibility, enthusiasm, project management, organizational skills, and attention to detail is required. This position reports to the Director of Development and includes frequent interaction with other staff members, donors, vendors, volunteers, and the public. This part-time position occasionally requires some evening and weekend hours. The successful candidate will be expected to report to the Pritzker Military Museum and Library and work onsite. 

Major Functions & Accountabilities: 

  • Enter, update, and maintain all donor and member records in Tessitura with a high degree of accuracy and timeliness. Donations can be in the form of checks, on-line donations, cash, wire transfers, or gifts-in-kind. 

  • Maintain the Tessitura donor database.  Serve as a primary steward of donor and member data integrity. 

  • Generate reports, print, proofread, and send signed donor/member acknowledgments in a timely fashion.  

  • Assist with preparing routine development and membership reports for leadership and board use. 

  • Provide direct administrative support to the Development Department. 

  • Support monthly membership renewal and subscription outreach.  

  • Provide accurate information on any member or donor when requested. 

  • Respond to incoming calls and emails with professionalism and urgency. 

  • Serve as the first point of contact for donor and member phone and email inquiries, ensuring prompt, accurate, and courteous responses.  

  • Process credit card payments and update online donation system, as needed. 

  • Assist in member/donor troubleshooting. 

  • Assist with updating donation portions of the website. 

  • Assist in creating campaign/membership emails/flyers/communications, etc. 

  • Attend and assist with programs, events, and meetings.  

  • Responsible for bulk membership processing. 

  • Other duties as assigned. 

Educational Requirements:  

  • Bachelor's Degree required.  

Experience, Abilities and Qualifications:  

  • Proficiency in MS Office required.   

  • Experience with donor management software, particularly Tessitura, is highly desirable.  

  • Demonstrated ability to work accurately with large volumes of data and generate routine development and membership reports. 

  • Experience with email marketing systems a plus. 

  • Commitment to delivering a high-quality donor and member experience in every interaction. 

  • A minimum of 1 year of office-related experience and/or previous administrative assistant or customer service experience desired. 

  • Experience handling payments and financial transactions with strong attention to internal controls and confidentiality. 

  • Demonstrated ability to maintain confidentiality and exercise sound judgement in handling sensitive donor information. 

  • Demonstrated ability to quickly learn and adapt to new technologies and systems. 

  • Must have the flexibility to change direction to meet deadlines.  

  • Excellent project management and organizational skills. 

  • Knowledge of office machines and telephone systems. 

  • Strong communication skills, both oral and written.  

  • Ability to multi-task and establish priorities in a fast-paced office.  

  • Ability to function either independently or as an active team member. 

  • Strong time management skills with the ability to work under pressure.  

  • Must be a self-starter and an independent problem solver.  

  • Flexibility and a willingness to perform other duties as requested, including willingness and ability to stay late on occasion.
