Job Description

Under minimal supervision, coordinates administrative, personnel and logistical support for a defined department program (s), often of a large and/or complex nature. Carries out established program objectives and directives. Follows established guidelines or protocols. Determines the best approach to accomplish assignments. May participate in program planning and in setting program objectives. May supervise support staff. May act as a communication liaison and special events planner. Interfaces with outside resources such as volunteers, alumni, patients, other professionals in a defined field or with continuing education students. May be responsible for adherence to program budget and/or other fiscal duties. May assist with grant and contract preparation and submission. May handle data management.

Works collaboratively to support operational initiatives within the Admissions Office of the University of Alabama at Birmingham Marnix E. Heersink School of Medicine. Responsible for administratively managing various processes and workflows within the Admissions operation. Manages and disseminates routine communications to prospective medical students regarding admissions policies and procedures. Provides input in the development of program plans and objectives. Implements operational policies and procedures under direction of leadership.

Duties and Responsibilities:

  • Coordinates program-specific workflows and communications related to Admissions processes.
  • Assists with planning and coordination of Admissions interview days.
  • Assists with tracking the progress of medical student admissions applications, including dissemination of relevant communications at applicable stages in the process.
  • Assists leadership with management of the Student Host program for student tours, lunches, and panels at interview days and recruitment events.
  • Collaborates with leadership to implement approved changes to application program software.
  • Assists with the development and dissemination of prospective student communications.
  • Conducts routine audits of the Admissions website, coordinates website content updates (e.g., recruitment event dates and other admissions information) by submitting requests to the Communications team, and supports communication efforts through email and additional resources, including management of the incoming class communication channels.
  • Assists with planning and coordination of recruitment events for prospective medical students.
  • Performs other duties as assigned.

Salary Range: $18.35 - $25.48

Bachelor's degree in a related field and one (1) year of related experience required. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.
