Overview
Job Description
- Support planning and execution of special projects across departments
- Track project progress, identify risks, and implement solutions
- Collaborate with internal teams to ensure timely and successful delivery
- Plan, coordinate, and execute all conventions and related events
- Manage registrations, applications, travel logistics, and vendor relationships
- Oversee booth setup, shipping of materials, and on-site execution as needed
- Track event performance, leads, and return on investment
- Maintain convention calendar and communicate updates to sales team
- Prepare and distribute monthly broker commission reports
- Reconcile data across systems and ensure broker reporting accuracy
- Maintain and update key Salesforce fields and records
- Upload and track event leads and marketing lists
- Manage renewals for industry memberships, subscriptions, and tools
- Research and recommend new organizations and opportunities
- 3+ years of experience in project coordination, event planning, or administrative support
- Strong organizational, problem-solving, and decision-making skills
- Excellent written and verbal communication abilities
- Proficiency in Salesforce or similar CRM systems preferred
- Highly organized and detail-oriented with strong follow-through
- Ability to manage multiple priorities in a fast-paced environment
- Proactive, resourceful, and deadline-driven
- Professional, adaptable, and able to maintain confidentiality
- Collaborative with a strong sense of ownership
- Ability to travel as needed to perform the essential job functions
- Ability to work under deadlines and manage competing priorities
- Prolonged periods of sitting and computer work may be required
- Ability to lift/move/carry approximately 15 pounds if required to perform the essential job functions. If the employee is unable to lift/move/carry this weight and can be accommodated without causing the department/division any "undue hardship” then the employee must be accommodated; hence omitting lifting/moving/carrying as a physical requirement.
