Job summary and key responsibilities

Under the direction of the Manager of Creative Services, the Project Coordinator plays a critical role in ensuring the smooth execution of marketing and communications initiatives across Montage Health. This position is responsible for managing the operational infrastructure of the department, including project workflows, vendor coordination, budget tracking, and performance reporting.

Support a wide array of operational and strategic functions that are vital to the organization's success, including:

  • Oversee day-to-day operations of the Marketing & Communications department, ensuring alignment with strategic goals and timelines.
  • Manage project intake, prioritization, and workflow systems to support cross-functional marketing and communications initiatives.
  • Coordinate with internal stakeholders and external vendors to ensure timely execution of campaigns, collateral, and digital assets.
  • Develop and manage project plans, timelines, and deliverables to ensure initiatives stay on track and within scope.
  • Lead project status updates, tracking milestones, risks, dependencies, and resource needs across multiple initiatives.
  • Identify and mitigate project risks, proactively resolving bottlenecks to maintain momentum and deadlines.
  • Establish and enforce project workflows, governance standards, and change management processes.
  • Monitor project performance and drive continuous improvement through post-project evaluations and process optimization.
  • Own the development and documentation of standard operating procedures (SOPs) and project management best practices.
  • Serve as a liaison between creative, marketing, and communications teams to ensure seamless execution of integrated campaigns.

Experience

Five or more years of professional experience in marketing operations, project management, or creative services coordination, preferably within healthcare.

Demonstrated experience managing complex projects with multiple stakeholders and competing deadlines.

Experience in creative production and traffic coordination, preferably in marketing and/or communications

Strong organizational and time management skills, with a keen attention to detail.

Strong proficiency in project management tools (e.g. Asana)

Experience with budget tracking, vendor management, and contract administration.

Excellent communication and interpersonal skills; ability to work collaboratively across teams.

Comfortable working in a fast-paced environment with shifting priorities and multiple concurrent projects.

Must have excellent communication and interpersonal abilities; creative thinking and problem-solving abilities; budget management experience; and strong project management skills.

Education

Bachelor's degree preferred or equivalent work experience.
