Job Description

Position Summary:

The Project Coordinator & Data Entry Specialist plays a key role in supporting field operations by managing project timelines, coordinating dispatch activities, and maintaining accurate data records. This dual-role position ensures operational efficiency and supports real-time decision-making through meticulous data management and communication.

Key Responsibilities:

Project Coordination:

  • Coordinate daily dispatch schedules for generator maintenance and refueling teams.
  • Track and manage project timelines, deliverables, and resource allocation.
  • Communicate with field technicians, vendors, and internal teams to ensure smooth operations.
  • Monitor generator performance and maintenance logs to anticipate service needs.

Data Entry & Management:

  • Enter and update service records, fuel logs, and maintenance data into internal systems.
  • Maintain accurate inventory records for generators, fuel supplies, and spare parts.
  • Verify and reconcile data from field reports and service tickets.
  • Generate routine and ad-hoc reports for operational analysis.
  • Ensure data integrity and compliance with company standards.

Qualifications:

  • High school diploma or equivalent; associate degree or higher preferred.
  • 2+ years of experience in project coordination or data entry, preferably in telecommunications or field services.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook); experience with dispatch or asset management software is a plus.
  • Strong organizational and multitasking skills.
  • Excellent communication and problem-solving abilities.
  • Ability to work in a fast-paced, deadline-driven environment.

Working Conditions:

  • Office-based
  • May require availability outside regular hours during emergency dispatches or service outages.
