job summary:

The role provides high‑level administrative, operational, and project support to executive leadership and legal team. This role serves as strategic partner ensuring legal compliance, executive efficiency and successful delivery of cross-functional projects. The role also oversees complex scheduling, communications, and travel while coordinating projects and ensuring alignment on key priorities. Acting as a trusted liaison, the position manages confidential information, supports legal and governance processes, and ensures seamless collaboration between executives, internal teams, and external stakeholders. The ideal candidate is highly organized, highly detail-oriented, proactive, and capable of managing confidential information while balancing multiple priorities.

POSITION SPECIFIC DUTIES & RESPONSIBILITIES:

  • Manage complex executive calendars, priorities, and schedule conflicts.
  • Coordinate multi‑level travel and prepare detailed itineraries.
  • Produce executive reports, presentations, briefs, and board materials.
  • Support key meetings with agendas, materials, minutes, and action tracking.
  • Serve as liaison for executives across internal teams, board members, and external partners.
  • Oversee inbox management and draft high‑level communications.
  • Maintain strict confidentiality of sensitive and privileged information.
  • Lead cross‑departmental projects from initiation through completion.
  • Develop project plans, timelines, deliverables, and risk assessments.
  • Facilitate project meetings to ensure clarity, alignment, and accountability.
  • Track milestones, anticipate issues, and drive timely execution.
  • Create dashboards and reports to communicate project progress.
  • Draft, review, and manage contracts, NDAs, and governance documents under attorney oversight.
  • Support legal operations, including compliance tracking, research, litigation coordination, and document management.

QUALIFICATIONS

education:

  • Bachelor's degree preferred

EXPERIENCE:

  • 5+ years of combined experience in executive support, paralegal work, legal assistant roles, and project management required.
  • Proven experience driving projects with multiple stakeholders
  • Experience supporting C‑suite leaders in corporate or regulated industries preferred.

KNOWLEDGE/SKILLS/ABILITIES:

  • Strong understanding of legal terminology, contract processes, and basic corporate governance.
  • Exceptional organizational and prioritization skills; ability to pivot quickly when needed.
  • High emotional intelligence, strong communication skills, and a polished executive presence.
  • Mastery of Microsoft 365 (Teams, SharePoint, Outlook, Word, PowerPoint, Excel), e‑signature tools, and project management platforms (e.g., Asana).
  • Advanced writing skills for drafting executive and legal correspondence.

CERTIFICATIONS/LICENSES:

  • Paralegal certification preferred
  • Formal project management training (PMP, CAPM, Lean/Agile exposure) preferred.

This job is classified as a "safety-sensitive" position as defined by the Oklahoma Medical Marijuana and Patient Protection Act. Due to the "safety-sensitive" classification, an employee in this position would be subject to drug and alcohol testing, including random testing.
