The Project Manager (PM) is responsible for achieving assigned sales volumes while ensuring successful project delivery from estimate through completion. The PM leads a cross-functional team to deliver projects on time, within budget, and to the satisfaction of the client. This role involves active collaboration with the Business Development Coordinator and direct oversight of field and office operations.
Key Responsibilities
Sales & Marketing:
  • Perform daily marketing to secure steady project inflow.
  • Provide leads to the Business Development Coordinator.
  • Meet with adjusters and deliver estimates and final billings.
  • Attend industry events, outings, and client lunches.
Production Management:
  • Review/approve project schedules and budgets.
  • Provide rough budgets to Superintendents.
  • Monitor weekly job costing and make site visits as needed.
  • Conduct daily reviews with Superintendent/Coordinator.
  • Ensure jobsite visits and costing oversight by team.
  • Maintain client communication and satisfaction.
  • Close jobs efficiently, including punch lists and detail work.
  • Review POs and timecards for accuracy and budget adherence.
  • Assist with Change Orders and supplements.
  • Hold weekly team meetings to review current and upcoming projects, and ensure timely progress payments.
Administrative & Compliance:
  • Understand and follow insurance and agency documentation standards.
  • Maintain legal and ethical compliance in all operations.
  • Ensure all project paperwork and contracts are executed prior to starting work.
  • Conduct professional communication and keep detailed records in PSA.
Post-Production:
  • Contact clients post-completion for satisfaction confirmation.
  • Ensure all billing is completed and payments collected.
  • Analyze project profitability and conduct debriefs for process improvements.
Supervisory Duties
  • Manage and guide all division personnel.
  • Administer disciplinary actions and performance appraisals.
  • Make hiring/firing decisions for the team.
  • Ensure compliance with safety and labor laws.
  • Foster a collaborative and accountable team environment.
Qualifications
  • Strong ethical standards and professionalism.
  • Excellent organization and multitasking skills.
  • Proficient in Windows, MS Office, Outlook, Xactimate, PSA and Etc.
  • Skilled in problem-solving and innovative thinking.
  • Strong interpersonal and public speaking ability.
  • Available for after-hours response when needed.
Physical Requirements
  • Lift 50+ lbs; climb ladders; walk stairs with tools.
  • Vision correctable to 20/40.
  • Complete respiratory exam if needed.
Other Requirements
  • Valid CA Driver’s License & acceptable driving record.
