Position Overview
We are seeking a motivated, detail-oriented Project Support Specialist to join our in-office team. This role bridges Sales and Operations, ensuring every sold project is fully prepared, accurately documented, and ready for seamless production and installation.
Key Responsibilities
Project Coordination & Pre-Production
- Process sold jobs from Sales through pre-production.
- Gather, confirm, and record all project details in company software.
- Identify and resolve missing or incomplete information.
- Ensure all materials are ordered and scheduled to be available when needed.
- Confirm jobsite readiness for template and installation.
- Document special considerations (large pieces, stairs, access challenges, etc.).
- Release completed job packages to Scheduling and Production.
Cross-Department Communication
- Coordinate with Purchasing, Programming, Scheduling, and Installation as needed.
- Participate in production/buffer meetings and proactively address potential delays.
- Identify root causes of issues that threaten project timelines.
Customer Communication
- Serve as the primary point of contact after the sale is complete.
- Provide regular updates and manage expectations from pre-production through installation.
- Communicate material changes, pricing adjustments, and developing issues.
- Resolve customer questions or concerns to ensure satisfaction.
Requirements
What We’re Looking For
- Strong written and verbal communication skills.
- High attention to detail with excellent organizational abilities.
- Proficiency in Microsoft Office; experience with industry-specific software is a plus.
- Experience in construction coordination, estimating, stone fabrication, or related industries preferred.
- Proactive self-starter with strong problem-solving and follow-through skills.
- Ability to multitask and prioritize in a fast-paced environment.
- Positive team player with a commitment to company success.
- Willingness to occasionally work extended hours as project demands require.
