Position Overview
We are looking for a specialized Purchasing & Compliance Manager to lead procurement strategy across our 30-unit portfolio of construction and manufacturing firms. This isn't just about ordering supplies; it's about managing the supply chain risk of a high-volume portfolio, ensuring job-costing integrity in QuickBooks Online, Quickbooks Desktop, Sage and Made to Manage and standardizing safety and regulatory compliance across diverse job sites and shop floors.
Key Responsibilities
Construction & Manufacturing Procurement
Direct Material Sourcing: Negotiate master service agreements (MSAs) for raw materials (steel, lumber, concrete) and specialized components to hedge against price volatility.
Inventory Control: Implement and oversee inventory management workflows to ensure "just-in-time" delivery for manufacturing units while minimizing "shrink" and dead stock.
Equipment & Fleet: Manage the procurement, leasing, and maintenance compliance of heavy machinery and vehicle fleets across all units.
Financial Compliance (QBO Ecosystem)
Job Costing Integrity: Ensure all purchase orders (POs) and bills are accurately coded to specific projects/jobs within QuickBooks Online to maintain accurate gross margin reporting.
Sales Tax Compliance: Oversee sales tax exemption certificates for jobs and manufacturing inputs to ensure we aren't overpaying or failing audits.
Subcontractor Compliance: Manage COIs (Certificates of Insurance), lien waivers, and W-9s for all construction-related vendors.
Strategic Oversight
Tech Stack Optimization: Act as the lead for integrating QBO with industry-specific apps (e.g., Knowify, Fishbowl, and Odoo) to automate the P2P (Procure-to-Pay) cycle.
Standard Operating Procedures (SOPs): Draft the "Purchasing Bible" for the firm-ensuring a foreman in the field and a plant manager in the factory follow the same authorization limits.
Required Experience & Skills
The QBO Expert: Deep familiarity with QuickBooks Online-specifically how "Classes," "Locations," and "Projects" function in a multi-entity environment.
Sector Expertise: 5+ years of experience specifically within the Construction or Manufacturing sectors. You must speak the language of lead times, bill of materials (BOM), and change orders.
The "Enforcer" Mentality: Ability to audit 30 different sets of books and hold business unit managers accountable to the firm's spending policies.
Data-Driven: Ability to export data from 30 QBO files to identify which units are overpaying for common supplies.
