Job SummaryWe're searching for a Purchasing & Delivery Coordinator to join our team. Reporting to the Purchasing & Delivery Manager, this role supports the day-to-day administrative, inventory, warehouse, and field support functions of our operations. This isn't a role where every day looks the same. You'll keep information accurate, orders moving, inventory organized, and field teams supported through a dynamic mix of office-based coordination, warehouse upkeep, and local deliveries. Success in this position requires strong organization, sharp attention to detail, adaptability, and a hands-on approach.Primary ResponsibilitiesPurchasing & Inventory CoordinationMaintain accurate inventory records and process restock requests within company systems
Support purchasing and replenishment of shop stock, materials, supplies, and field-requested items
Receive, verify, and properly store incoming shipments, ensuring materials are accounted for
Research pricing, availability, warranty information, and product details as needed
Communicate with vendors and field team members regarding orders, material needs, and availability
Administrative & Department SupportComplete routine data entry and administrative tasks within accounting, inventory, and service software
Assist with administrative processes such as equipment and warranty registration, rebates, and system tracking
Prepare shipping requests, labels, and documentation for filter and material shipments
Provide regular phone and internal support to field teams requesting parts, materials, pricing, or availability
Perform other duties and special projects as assigned by the Purchasing & Delivery ManagerWarehouse & Delivery OperationsMaintain a clean, safe, organized, and efficient warehouse and shop
Pull, stage, and load materials and equipment for installation and service teams
Assist with general building, property, and warehouse upkeep
Safely operate a forklift as needed
Complete local pickups, deliveries, and errands as needed to support field teams and daily operations
Minimum Required Education & ExperienceHigh school diploma or equivalent2+ years experience in inventory, purchasing, warehouse, logistics, or a related role preferred
Additional Eligibility QualificationsStrong organizational skills and attention to detail with the ability to manage changing priorities
Strong communication skills and confidence handling frequent phone, email, text, and in-person requests
Comfortable using Microsoft Office and learning company-specific software
Experience with ServiceTitan or QuickBooks is a plus
Self-motivated, dependable, and comfortable working independently while supporting a team
Ability to safely operate a forklift or willingness to be trained
Valid driver's license and clean driving record
Comfortable driving cars, pickup trucks, and cargo vans
Ability to lift up to 50 pounds as needed
Ability to perform a mix of sitting, standing, walking, warehouse work, and driving throughout the day
