ROLE OVERVIEW

The Quality Assurance Technician provides staff support to the Quality Assurance Residential Manager to ensure compliance with the clinical records system in a manner consistent with medical-legal, accreditation, licensing and general State/Federal regulatory standards.

MUST HAVE HEALTHCARE EXPERIENCE 

ESSENTIAL JOB DUTIES:

  • Ensures compliance of clinical records and performs a clinical records review before any Residential Programs auditor site visit, including but not limited to:
  • Ensuring that all required Admission documentation is completed by the agency’s Admission department;
  • Perform quarterly Audits of active client records and Progress notes (both computer and hard copy files) to ensure that contractual standards are maintained;
  • Reviews monthly CFT Schedules (formerly known as TPR Schedule) completed by Administrative Assistance from STRTP and CTF.
  • Monitors, sends reminders to Clinician and Clinical Case Coordinator regarding DMH documentation due monthly and reviews documentation when completed.
  • Maintains closed clinical records including post-termination reviews, TIER, Cardex and archives;
  • Completes audit checklists of criteria defined by the Quality Assurance Residential Manager before closing client records, and purges client records based on established destruction time frames;
  • Performs post-discharge chart review and assembly (both computer and hard copy files) in preparation for closed record storage.
  • Prepares statistic reports and information summaries related to clinical records review, as directed by the Quality Assurance Residential Manager.
  • Performs computer data entry in TIER, Cardex, Alliance Reporting and other VDM databases;
  • Tracks clinical record documentation in TIER and/or Excel;
  • Provides training to Residential Program Administrative Assistants and staff regarding chart assembly and maintenance;
  • Responds to requests for clinical information from VDM programs, outside agencies, health providers, and insurance companies, and prepares client record documents for release of information and third-party Payor inquiries as requested by the Quality Assurance Residential Manager;
  • Maintains closed records, record retrieval, and the department’s Clinical Record Check-Out Log.
  • Maintains client record security and the department’s computerized system for tracking the retention and destruction of all clinical records agency-wide;
  • Prepares charts to be sent to storage, enters data in Williams Storage system and coordinates pick up of boxes.
  • Assists the Quality Assurance Residential Manager with data entry and tracking of DTI and IHBS Authorizations
  • Audits Special Incident Reports/Unusual Occurrence Reports for data entry accuracy and completeness according to requirements of contracts and licensing.

WHAT YOU BRING TO VDM:

  • A background of education and experience in an office setting, equivalent to graduation from High School.
  • Must have excellent organizational skills and an ability work cooperatively with others.
  • Have command of the English language; be able to spell correctly.
  • Have knowledge of modern office methods and equipment.
  • Type a minimum of 50 wpm accurately.
  • Must be able to perform basic lifting, carrying and filing.

Hourly Rate: $25.50
