Job Description
Beloit Health System is looking to add a Radiology Service Representative to our Team!
- Shift: 1st
- Schedule: 7:00 am -7:00pm (8 hour shifts within this timeframe)
- Hours per week: 24
- Benefits Status: Eligible
- Department: BMH Imaging Administration
The Radiology Service Representative greets all patients, visitors, and vendors. Schedules Medical Imaging appointments for all modalities and pre registers correct encounters. Checking in scheduled appointments and activating Medical Imaging orders. Obtains and imports images from other facilities for continuing care. Reschedules and readjusts department schedules as needed. Maintains imaging records, sending out PACS images. Sending and receiving images via CD or PAC's. Coordinating Mammography paperwork and follow up to assure dictation. Assists patients, family members and vendors. Assist imaging technologists with patient care which can include patient transportation and attending invasive procedures.
- Greets patients and family members courteously
- Answers incoming phone lines in a prompt and courteous manner
- Accurately records pertinent information when scheduling appointments and takingmessages.
- Handles and screens phone calls, receives faxes and facilitates communication with staff and Radiologists.
- Directs patients to the correct waiting area.
- Completes all patient forms thoroughly and accurately. Obtains all necessary signatures on forms.
- Refers patient questions regarding insurance, billing, patient accounts, payments, and record transfer to the proper department.
- Verifies prior authorization before scheduling any advanced medical imaging exams.
- Demonstrates the ability to navigate and perform functions accurately and efficiently with the computer software applicable to the Medical Imaging Department and its modalities.
- Help family members with any questions regarding family member having a procedure Direct them to different areas Of the hospital.
- Exhibits accuracy and thoroughness in the preregistration process and recording the prior authorization status, number and approval dates to ensure this post on downstream systems correctly.
- Schedule's appointments according to the Medical Imaging Department's guidelines and uses all options in an accommodating manner.
- Attends to modality directives in relation to work-ins, cancellations, rescheduling, and confirming appointment as directed.
- Participates in opening and closing responsibilities and works Saturdays as needed on a rotational basis.
- Interacts in a positive, responsible, and cooperative manner with patients, families, physicians, coworkers, managers, and director.
- Receives messages through the scheduling pool group via soft talk for possible patient appointment cancellations. Call's patient to verify cancel or reschedules of Medical Imaging appointment.
- Receives messages through the radiology file room pool group to communicate with providers and staff regarding prior authorization, orders and patient follow-up.
- Completes and helps with record transfer requests accurately and/or coordinates record transfer personnel with patients as necessary.
- Assists with coordinating STAT add-on exams by working with the technologist, verifying precertification, and contacting patient.
- Portrays a positive image for the Beloit Health System by dressing appropriately for the position. Wear's photo identification for proper identification by others
- Maintains a safe work environment for self and others. Attends safety training sessions and adheres to the Beloit Health System OSHA safety requirements.
- Ensures security of PHI. Maintains confidentiality of all patient and employee information and records, Beloit Health System financial information and business practices Handles problems independently and with sound judgement.
- Ability to work in multiple locations.
- Schedules designated procedures and recall Mammography patients.
- Interact with other departments such as registration and ER in a positive and timely manner.
- Mails out appointment reminders prior to patient arriving.
- Directs dissatisfied customers to Manager or Director, as necessary.
- Performs a variety of clerical duties, such as ordering supplies and operating computer.
- Troubleshoots and/or problem-solves issues.
- Maintains acceptable levels of initiative and productivity. Abides by attendance policy for absences and tardiness.PACS Duties
- Patient demographic updates, duplicate MR numbers
- Importing CD's and modifying demographic information to match RIS
- Sending and receiving studies to outside facilities through PAC's and maintain proper release paperwork
- Scan documents into PAC's
- Print appropriate paperwork for Mammography exams awaiting outside studies for comparison
- Activate orders for outpatient services in the Medical Imaging area
- X-ray exams such as Chest, Shoulder, Knee, etc.
- Checks in exams for all modalities including
- MRI
- CT
- Nuclear Medicine
- PET Mammography x-Ray
- Ultrasound
- Directs Mammogram patients to appropriate dressing rooms and hands out appropriate forms.
- Gives Radiologist EQUIP forms for Mammogram patients Performs all other related duties as assigned.
Job Requirements
- High school graduate or equivalent required
- Basic computer skills including keyboarding
- Excellent organizational, verbal communication, and interpersonal relation skills to be utilized with coworkers, patients, and the public Ability to prioritize and multitask work
- Ability to work in a fast-paced environment while keeping information private and confidential
- Ability to work independently
- Ability to learn various prep information and exam compatibility.
- Develops and maintains working relationships with other staff members of the Medical Imaging team
- Reporting Relationship: Technical/Scheduling Coordinator, Medical Imaging PACS Analyst, Medical Imaging Clinical Manager and Department Director
