We are expanding our internal administrative team and seeking an organized, detail-oriented Real Estate Office & Transaction Coordinator to manage contract compliance, listing logistics, and day-to-day office workflows.

Job Summary

The Real Estate Office & Transaction Coordinator acts as the central hub of our brokerage operations. This role is responsible for overseeing residential real estate files from the moment a contract is executed until the day of closing. You will serve as the primary liaison between our real estate agents, clients, escrow companies, and mortgage lenders to ensure all legal paperwork, disclosures, and structural deadlines are met perfectly.What You Will Do:- Contract-to-Close Management: Review, audit, and organize fully executed purchase agreements, addenda, and closing disclosures using digital platforms (Dotloop/DocuSign).

- Compliance Monitoring: Verify that all required state, local, and brokerage compliance documents are completed and submitted to the principal broker prior to closing milestones.

- Escrow & Title Liaison: Coordinate daily with title companies, escrow officers, home inspectors, and mortgage professionals to track transaction timelines and clear closing conditions.

- Listing Management Support: Input and update property listings on the local Multiple Listing Service (MLS), ensuring accurate descriptions, pricing adjustments, and open house notifications.

- Office Administration: Maintain internal physical and digital files, manage incoming corporate communications, handle basic vendor relations, and support the onboarding of new real estate associates.

Requirements

- Experience: Minimum 2 years of experience in a real estate office administration, title company, or mortgage lending operations role.

- Industry Knowledge: Comprehensive understanding of standard Florida residential real estate documents, contracts, and the closing process.

- Software Proficiency: Strong hands-on experience using real estate transaction software (such as Dotloop, DocuSign, FormSimplicity, or similar) and local MLS databases.

- Skills: Elite organizational skills, sharp attention to detail, and a professional communication style suited for handling sensitive client interactions.

- Licensing (Preferred but Not Required): An active Florida Real Estate Sales Associate license is a strong plus, but not mandatory for a highly qualified administrative professional.
