Position Overview:

The Records and Information Governance Manager leads the organization's enterprise-wide records and information governance program, ensuring the effective management, protection, retention, and disposition of organizational records throughout their lifecycle. This role develops and oversees governance strategies, policies, and practices to ensure compliance with legal, regulatory, accreditation, and organizational requirements. The manager provides leadership across multiple functional area to promote consistent recordkeeping standards, mitigate risk, safeguard sensitive information, and support operational excellence through effective information governance.

Enterprise Records Governance:

  • Conduct a comprehensive assessment of our Health Information Management (HIM) department, and other record processes and practices to evaluate workflow efficiency, ensure regulatory compliance, identify technology gaps, and optimize records management to align with industry best practices.
  • Develop, implement, and maintain organizational records management policies, file plans, and retention schedules in compliance with federal, state, and industry regulations.
  • Establish uniform protocols for classifying, storing, retrieving, and legally disposing of both physical and electronic records.

Records Management:

  • Oversee the secure storage, tracking, and chain-of-custody for all Fraser Records.
  • Ensure strict adherence to data privacy regulations (e.g., HIPAA, Minnesota Government data Practices Act) governing sensitive health and employment information.
  • Conduct periodic audits of Records to validate the completeness, accuracy, and confidentiality of records.

Compliance, Auditing, & Legal Discovery:

  • Coordinate with Legal and Compliance teams to manage records during legal holds, audits, and eDiscovery processes.
  • Regularly audit both on and off-site records and internal digital repositories to ensure data integrity and security compliance.

Training & System Administration:

  • Develop and deliver company-wide training programs to ensure staff understand records handling and data privacy protocols.
  • Manage business continuity and disaster recovery plans specifically tailored to vital organizational records.

Location, Schedule & Pay:

  • Hybrid role: 2-3 days per week in our Richfield, MN office.
  • This is a full-time position working Monday through Friday 8 AM - 4:30 PM.
  • $80,000 - $85,000 per year depending on qualifications.

Requirements:

  • Bachelor's degree in information management/health information management, library science, Business Administration, or a related field required.
  • Certified Records Manager (CRM), Certified Information Professional (CIP), or similar certification required.
  • Valid Driver's License with acceptable record required.
  • 5+ Years of experience in records and information management, with specific experience managing sensitive HR or Healthcare (HIM) records highly preferred
  • Expert knowledge of privacy laws, records retention standards, and Electronic Content Management (ECM)/Electronic Medical Records (EMR) platforms.
