Job Description

This posting is for a full-time, 12-month, exempt position. The Registrar reports to the Director of Academic Services. This position requires a combination of strong leadership, technical, and interpersonal skills. The Registrar will act as an innovative and strategic leader and will create and implement a vision for a 21st century technologically sophisticated Registrar's Office. With the University Registrar's Office being responsible for enforcement of the University's academic policies, the Registrar also ensures the oversight, integrity, accuracy, and security of all student academic and educational records and their policies and procedures are appropriately created, maintained and executed through Workday business processes.

Essential Functions

This position requires regular, predictable, reliable attendance in the office environment.

The Registrar position will require an ability to lead efforts to implement registration and student records best practices, including both broad oversight as well as a hands-on management. The position's primary responsibilities include:

  1. Manage the staff and conduct performance appraisals for the Office of the Registrar.

  2. Supervise the academic policies of the University of Findlay as they pertain to the Office of the Registrar.

  3. Continue to maintain and enhance the Workday Student system for the Registration, Academic Advising, Curriculum and Student Records modules, working collaboratively and in partnership with the Workday Student project team and other campus stakeholders.

  4. Assume responsibility for maximizing utilization of all Registrar-related activities in all relevant software programs (Workday, Parchment, Transfer Evaluation Systems, Starfish, and other third-party applications) including implementing integrations or business process workflows to expedite processing, retiring when able and enabling data analytics to provide management information data.

  5. Keep abreast of Registrar best practices and conduct business process redesign to improve processes and ensure the integration of state-of-the-art technology tools into day-to-day business processes.

  6. Ensure completion of academic processes related to advisor assignments, registration (new and continuing students), degree audits, grading, academic standing, and prerequisite checking.

  7. Serve as a School Certifying Official to help answer questions and complete processes related to military education benefits.

  8. Responsible for developing and maintaining rules/codes for all systems and processes within Workday Student.

  9. Implement Workflow rules and Business processes in accordance with academic catalog changes.

  10. Ensure the integrity of data processed and disseminated by the Registrar's Office.

  11. Provide data for predictive enrollment analytics and collaborate with Vice President for Academic Affairs (VPAA), Vice President for Enrollment Management, Deans, and other university officials to improve predictive capabilities.

  12. Oversee all Registration and Student Records reporting needs to ensure timeliness and accuracy. Provide reports as needed by VPAA, Deans and other university officials.

  13. Administration of University academic policies and regulations to ensure compliance with federal, state, and other regulatory agencies (NSCH, NSLDS, FERPA, and others) within Workday Student.

  14. Partner with key administrative offices (e.g., Financial Aid, Student Accounts, Admissions, Oiler Success Center, etc.) and with the academic leadership team to support effective functioning of the University.

  15. Play an active role in state, regional and national Registrar and Student Records professional associations and technology user group communities. Provide opportunities for Registrar staff members to also be involved in these organizations.

  16. Provide training to department staff and other departments (as needed).

  17. Serves on various University committees (e.g. Student Academic Standards Committee) and advisory groups.

  18. Perform all other duties as appropriate for the position.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.

Position Type and Expected Hours of Work

This is a full-time 12-month position, and general hours of work and days are Monday through Friday, 8:00 a.m. to 5:00 p.m.

Travel

Travel is primarily local during the business day, although some out-of-the-area travel may be expected. A valid US Driver's license with a safe driving record is required.

Required Education and Experience

  1. Minimum of a bachelor's degree and at least seven years' experience in a Registrar Office in a college or university with a record of assuming increasing responsibility, a master's degree is highly preferred.

  2. Demonstrated aptitude for managing technology in a university environment, including experience with Registration and Student Records software, reporting tools and mobile capabilities.

  3. Experience managing a customer service operation serving both students and their families.

  4. Ability to provide strategic leadership and at the same time, be a team player.

  5. Willingness to collaborate with University colleagues, and know when to provide strategic leadership and when to play a supporting role.

  6. Experience supervising a professional staff of college or university employees.

  7. Demonstrated commitment to diversity.

  8. Highly developed organizational leadership, interpersonal, analytic, critical thinking and communication skills.
