Job Description

The Retail Facilities Management Lead is responsible for the comprehensive oversight of facility management services across our Retail portfolio in North America. This role is pivotal in ensuring optimal functionality, safety, and efficiency of buildings, grounds, and infrastructure. Key responsibilities include strategic planning, project management support, operational management, team leadership, and strict adherence to all pertinent regulations and standards. The successful candidate will significantly contribute to enhancing the physical environment, thereby supporting organizational objectives and fostering employee satisfaction.

Responsibilities:

  1. Operational Oversight:
  • Collaborate with asset management and facility management teams to ensure high satisfaction with building operations, encompassing maintenance, repairs, cleaning, project management, landscaping, and waste management.
  • Guarantee the efficient and effective operation of all retail branch equipment, including HVAC, electrical, plumbing, and fire safety systems.
  • Oversee third-party project management initiatives, focusing on timely delivery and budget adherence.
  • Review and approve all small projects and "Above Base" requests for rebaselines, closeout workflow checklists, extensions, overruns, bid exceptions, and Purchase Order (PO) exceptions.
  • Review and approve monthly preventive maintenance programs and reactive maintenance proposals.
  • Approve all "Above Base" project work and related services.
  1. Budget & Financial Management:
  • Partner with outsourced vendor teams and internal business units to develop and manage the annual facilities budget, covering operating expenses, capital expenditures, and additional out-of-scope costs.
  • Review and approve all out-of-scope projects and associated costs.
  • Monitor and control expenditures, identify cost-saving opportunities, and ensure financial targets are met, including oversight of blanket POs and true-ups for services such as snow removal, addressing violations, and managing lock and key services.
  • Approve purchase orders/invoices, track expenses, and prepare comprehensive financial reports related to facility operations as required.
  1. Compliance & Risk Management:
  • Ensure all facilities comply with local, state, and federal regulations, including health, safety, environmental, and building codes.
  • Consolidate and review all data pertinent to facility operations risk assessments and implement effective mitigation strategies.
  • Contribute to the development of structural and seismic review processes, ensuring accurate storage and maintenance of relevant data and risk assessments.
  1. Team Leadership & Development:
  • Lead, mentor, and foster the development of a high-performing facility management team.
  • Actively participate in weekly and monthly meetings with the Asset Management team and business units to cultivate strong partnerships and address ongoing issues proactively.
  • Promote effective communication and collaboration within the facilities team and with other departments.
  1. Sustainability Initiatives:
  • Collaborate with teams to identify and implement sustainable practices and technologies aimed at reducing environmental impact and improving energy efficiency.
  • Assist in the rollout and monitoring of initiatives related to green building certifications and renewable energy solutions.
  1. Strategic Planning & Development:
  • Develop and implement long-term facility management strategies, policies, and procedures aligned with overarching organizational goals.
  • Oversee space planning, allocation, and utilization to optimize efficiency and adapt to evolving business needs.
  • Manage capital projects, renovations, and new construction from conceptualization through completion.
  • Identify and integrate best practices in facility management to drive continuous improvement.

Qualifications:

  • 6-10 years relevant experience
  • Comprehensive knowledge and expertise of building systems and facility management
  • Broad knowledge and understanding of real estate disciplines (architecture, construction, space planning, and engineering, etc.)
  • Comprehensive knowledge of and understanding of Finance principles in order to manage the P&L of the assets.
  • Knowledgeable of real estate law and related documents (contracts, deeds) coupled with the ability to apply them to complex business situations.
  • Assessment, planning and work organization skills

Education:

  • Bachelors degree, potentially Masters degree in Facility Management, Engineering, Business Administration, or a closely related field.

Primary Location Full Time Salary Range:
