Job Description
Madden Industrial Craftsmen is seeking a Safety Administrative Coordinator for our client, a fabrication and industrial services company, in Portland, OR. This position supports safety, environmental compliance, and day-to-day operational functions across facility and fabrication teams. The ideal candidate has hands-on experience with the following: maintaining compliance documentation, supporting safety programs, managing records and reporting, and providing administrative support in a fast-paced industrial environment.
Pay & Schedule Pay: $27$30/hour DOE Shift: Day Shift
Key Responsibilities Support and maintain safety programs, ensuring compliance with OSHA, Fire Marshal, and internal safety standards, including coordinating inspections and tracking corrective actions Manage environmental compliance processes including stormwater programs, air quality tracking, and maintaining required documentation for regulatory reporting Review and verify time entry for fabrication teams and maintain operational records including maintenance logs and vehicle documentation Maintain organized documentation systems across safety, environmental, operational, and administrative functions, ensuring accuracy and audit readiness Provide administrative support including document preparation, filing, scheduling, onboarding documentation, and internal reporting Assist project teams with preparation and submission of project documentation and submittals as needed Support communication across departments by distributing updates, notices, and compliance-related information
Required Qualifications High school diploma or equivalent Minimum 2 years of experience in administrative support, operations coordination, safety support, or a related role Strong attention to detail and organizational skills Ability to manage multiple tasks and deadlines in a fast-paced environment Strong written and verbal communication skills Ability to handle sensitive information with discretion Proficiency with Microsoft Office and general office systems
Preferred Qualifications Experience working in construction, manufacturing, fabrication, or industrial environments Familiarity with OSHA, Fire Marshal, or environmental compliance processes Experience with payroll systems, time tracking, or QuickBooks Exposure to project documentation or construction submittals

Work Environment This role operates primarily in an office environment with occasional time spent in fabrication or facility areas. Work may include exposure to shop conditions during inspections or documentation activities. PPE and safety compliance are required at all times.
