Job Description

Family First Health is seeking a Safety and Compliance Manager for our organization. As a Safety and Compliance Manager at Family First Health, you should have a positive personality, the ability to learn and teach back new and existing processes, excellent communication skills, strong computer skills, and strong organizational skills.

POSITION SUMMARY

The Safety & Compliance Manager plans, organizes, and coordinates Family First Health's organizational safety, to include both patient and employee safety, risk management support, and regulatory readiness activities to strengthen the culture of safety at Family First Health, support an effective compliance program, and maintain continuous readiness for HRSA and other external reviews. The role is accountable for developing and maintaining an evolving, comprehensive program that includes proactive risk identification, investigation, analysis, and implementation of corrective actions to reduce the likelihood of adverse events and prevent recurrence.

This position coordinates inputs to the Federal Tort Claims Act (FTCA) deeming/redeeming process (risk management, training documentation, quarterly assessments, board reporting, and claims management documentation) in partnership with internal stakeholders and supports emergency preparedness and environment of care activities in collaboration with the Facilities Department and site leadership.

MINIMUM QUALIFICATIONS

  • Bachelor's degree in healthcare related field, Associates Degree in healthcare related field, or Nursing license
  • Minimum of three (3) years of experience for a Bachelor's and Associates degree or minimum of five (5) years of experience for a nursing license in a healthcare setting with demonstrated responsibility in patient safety, risk management, quality improvement, compliance, and/or emergency preparedness or for a nursing license,
  • Demonstrated experience conducting investigations and developing corrective actions.
  • Proficiency with Microsoft Office applications (Word, Excel, PowerPoint) and comfort learning additional systems.
  • Ability to travel between Family First Health sites and maintain a valid driver's license.

PREFERRED QUALIFICATIONS/CERTIFICATIONS

  • Healthcare risk management/patient safety certification preferred (e.g., CPPS, CPHQ, CPHRM) at hire or within two (2) years of assuming the role.
  • Experience in an FQHC/HRSA-funded setting and/or supporting HRSA reviews and FTCA deeming documentation.
  • Licensed healthcare professional (LPN,RN, or other) preferred but not required.
  • Management/committee leadership experience.

ESSENTIAL DUTIES AND RESPONSIBILITIES

REGULATORY COMPLIANCE AND EXTERNAL REVIEW READINESS

  • Supports preparation for compliance audits, regulatory reviews, and HRSA operational site visits (OSVs) by maintaining evidence files, completing readiness assessments, and coordinating corrective action plans (CAPA).
  • Maintains working knowledge of applicable federal, state, and local requirements impacting patient safety, risk management, and emergency preparedness; communicates gaps and coordinates timely remediation.
  • Coordinates inputs and documentation supporting FTCA deeming/redeeming requirements, including quarterly risk assessments, annual board reporting, required staff training documentation, and claims management process documentation, in collaboration with responsible departments.
  • Collaborates with stakeholders to develop, review, and maintain organizational policies, procedures, memorandums of understanding (MOUs), Business Associate Agreements (BAAs), and other compliance-related documents, as assigned.
  • Maintains strict adherence to HIPAA requirements and protects patient confidentiality; coordinates medical record requests and other compliance-related administrative functions as assigned.

PATIENT SAFETY, RISK MANAGEMENT, AND EVENT RESPONSE

  • Develops, coordinates, and facilitates effective systems for risk identification, investigation, mitigation, and prevention of patient and staff safety concerns.
  • Oversees the safety incident reporting process.
  • Manages or supports complaint and grievance intake, tracking, investigation, and resolution; analyzes patterns and trends and communicates findings to leadership.
  • Provides education to leaders and staff on system-based causes of error, Just Culture concepts, and evidence-informed patient safety strategies.
  • Promotes transition from a reactive risk model to a proactive, high-reliability safety culture through multidisciplinary collaboration and shared learning

QUALITY AND PERFORMANCE IMPROVEMENT

  • Tracks and reports key safety and risk management metrics; develops dashboards, summaries, and recommendations for leaders and committees.
  • Partner with the Director of Quality and Corporate Compliance to design and administer the annual Culture of Safety survey. Analyze survey findings, identify organization‑wide opportunities for improvement, and develop targeted initiatives to address them.
  • Coordinates the development and delivery of education and mentoring for safety champions and leadership, supporting departmental initiatives related to patient and employee safety, risk management, and emergency preparedness.

EMERGENCY MANAGEMENT, ENVIRONMENT OF CARE AND WORKPLACE SAFETY

  • Supports compliance with emergency management requirements and educates and promotes in disaster planning, drills/exercises, and after-action improvement planning and completion of the Hazard Vulnerability Assessment (HVA).
  • Conducts and/or coordinates Environment of Care (EOC) rounds and proactive surveillance of patient and employee safety risks; documents findings and recommended mitigations.
  • Notifies the Facilities Department of identified hazards and partners on mitigation/repair prioritization; follows up to verify closure.

GOVERNANCE, COMMITTEE SUPPORT, AND PROFESSIONAL RESPONSIBILITIES

  • Provides direct leadership of the Employee Safety Committee; supports the Patient Safety Committee and other committees as assigned.
  • Prepares and presents reports and recommendations to leadership, and various committees; escalates significant risks promptly.
  • Demonstrates commitment to customer service excellence by communicating with tact, diplomacy, and sensitivity in all interactions with peers, staff, and the public.
  • Maintains confidentiality, accuracy, initiative, and ethical conduct in all job performance.
  • Performs other duties and special projects as assigned by the Director of Quality and Corporate Compliance.

PHYSICAL DEMANDS/ WORK ENVIRONMENT

Must possess the physical and mental abilities to perform tasks normally associated with a quality/safety program role, including frequent computer and phone work, periodic standing and walking during rounds, occasional bending/stooping, and occasional travel between work sites and events with exposure to weather conditions. Work is primarily performed in an office and clinical environment; telework may be available per Family First Health policy and role needs.
