What You'll Do:The Boochcraft Sales & Finance Operations Coordinator supports the Finance and Sales department by maintaining critical data platforms, producing accurate weekly and monthly reports, and assisting with forecasting and planning processes. This role demands exceptional attention to detail, strong data validation skills, and strict adherence to processes. Key Functions:
- Data accuracy and integrity in core platforms (Lilypad, VIP, Ekos, Grappos).
- Weekly distributor, inventory, and sales reporting.
- Support for MBO tracking, forecasting snapshots, and taproom data.
- Cross-functional coordination with Sales and Finance.
- Accounts Receivable administration.
Duties and Responsibilities:Data Maintenance & System Updates:
- Maintain accurate data in core systems (Lilypad, VIP, Ekos, Grappos).
- Perform routine updates, item setups, and system checks.
- Identify and escalate data discrepancies promptly.
Reporting Execution:Prepare and distribute weekly and monthly reports, including:
- Distributor and sales reporting.
- Inventory and Days-on-Hand (DOH) reports.
- Taproom sales and discount tracking.
- Taproom keg yield tracking.
- Update scorecards and tracking tools.
- Compile.
Sales & Finance Administrative Support:
- Update forecasting files with prior-month actuals.
- Support monthly close processes, including sales order status checks.
- Maintain tracking documents and reporting templates.
Accounts Receivable & Deductions Processing:
- Process invoices, credit memos, and billbacks with proper approvals.
- Issue credits and maintain supporting documentation.
- Monitor accounts receivable aging and assist with follow-ups.
- Review and log distributor deductions (KeHE, UNFI).
Compliance & Reporting Support:
- Assist with excise tax reporting support (Ekos reports).
- Support TTB Reports of Operations preparation.
- Assist with price posting and label registration tasks.
Cross-Functional Coordination:
- Respond to internal requests promptly.
- Coordinate with Sales and Finance to ensure accurate and timely information flow.
Other duties as assigned.Key Expectations:
- Consistent, error-free execution of assigned tasks.
- On-time completion of all recurring reporting and administrative processes.
- Adherence to established workflows and schedules.
- Prompt communication of issues or discrepancies.
What You'll Need:Required:
- 2–3+ years of administrative, sales operations, or data support experience.
- Strong Excel skills (data entry, basic formulas, reconciliation).
- High attention to detail and accuracy.
- Strong organizational and time management skills.
Preferred:
- Experience in beverage, alcohol, or CPG industry.
- Familiarity with Lilypad, VIP, Ekos, or similar systems.
- Experience with distributor networks (KeHE, UNFI).
- Exposure to invoicing, AR, or deductions processing.

The noise level in the work environment is normally quiet.This position is located In the San Diego area (Chula Vista), but remote work may be considered.Physical Requirements: Candidate must be able to perform physical activities which include but are not limited to lifting, bending over, kneeling, twisting, stooping, crouching, occasionally lifting to 25 lbs.
