Scheduling Coordinator / Workforce Scheduling Specialist

We are looking for a highly organized and reliable Scheduling Coordinator to manage staffing across multiple locations. This role is critical to daily operations and ensures all shifts are covered at all times. You must be able to think quickly, communicate clearly, and handle high-pressure situations.

Responsibilities:

• Create and manage employee schedules across multiple locations
• Monitor daily staffing and respond to call-offs in real time
• Find coverage for open shifts using calls, texts, and scheduling systems
• Communicate with staff to confirm shifts and prevent no-shows
• Maintain accurate schedules and staffing records
• Work closely with management to ensure proper staffing levels
• Assist with onboarding new employees into the schedule
• Step in to support operations if coverage cannot be found until a replacement is secured

Requirements:

• Previous scheduling, staffing, or coordination experience preferred
• Strong organizational and multitasking skills
• Ability to work in a fast-paced, high-pressure environment
• Excellent communication and problem-solving skills
• Reliable and responsive, including after-hours when needed
• Comfortable using scheduling software and basic computer systems

Preferred:

• Experience in healthcare, assisted living, or caregiving environments
• Familiar with When I Work or similar scheduling platforms

Schedule:

• Monday–Friday, with rotating after-hours and weekend coverage
