Job Description
The Academy of St. Matthias the Apostle is seeking a highly organized, mission-driven School Office Manager to oversee front office operations, financial processes, and family engagement systems. This role serves as a key liaison between the school, families, and the Archdiocese, ensuring that all operations reflect excellence, professionalism, and Catholic values.
The ideal candidate brings a strong accounting background, attention to detail, and the ability to support families with clarity, compassion, and discretion.
The hourly rate for this role is $19.00 to $22.00 with excellent benefits
Oversee daily operations of the school office
- Manage calendars, scheduling, and school-wide communications
- Coordinate meetings, events, and vendor relationships
- Maintain organized systems for records, files, and compliance
Financial Management & Accounting (KEY PRIORITY)
- Manage tuition accounts and support families using FACTS
- Monitor billing, payments, and financial records
- Serve as liaison to bookkeeper and Archdiocesan financial offices
- Assist with payroll processes and reporting
- Support financial aid tracking, scholarships, and account adjustments
- Communicate professionally with families regarding tuition and balances
Support & Engagement
- Serve as a welcoming and professional point of contact for families
- Assist families with enrollment, re-enrollment, and financial processes
- Provide clear, compassionate communication regarding school policies
- Maintain confidentiality while supporting sensitive family situations
Administrative & HR Support
- Assist with onboarding, compliance, and staff documentation
- Support Safe Environment and Child Protection processes
- Coordinate volunteers and service hour tracking
- Support leadership projects and school initiatives
Qualifications
Required:
- Strong accounting or financial management experience
- Excellent organizational and multitasking skills
- Strong communication and interpersonal skills
- Ability to handle confidential information with discretion
- Proficiency in Microsoft Office (especially Excel)
Preferred:
- Experience with FACTS SIS/Financial or similar systems
- Experience working in a school or family-centered environment
- Bilingual (Spanish preferred)
