Summary: The Senior Administrator, Scholarship Programs, within the ACS Foundation, administers a portfolio of domestic and international scholarship programs that support surgical research and professional development and supports the work of the Scholarship Committee. The position develops, publicizes, and manages eight domestic and six international scholarship programs representing a total of approximately fifty awards from inception through the post-award period. Reporting to the Director, ACS Foundation, the role also manages the International Relations Committee Scholarship Subcommittee and collaborates with internal stakeholders to advance ACS international engagement, global education initiatives, and long-term program impact while ensuring financial stewardship and fulfillment of donor intent.

This exempt position will report to the Director, American College of Surgeons Foundation in the Division of Foundation. This position is based in our Chicago office and is a hybrid role: 3 days per week in the office/2 days per week remote.

The anticipated salary range for this position is $73,700 - $80,000 (commensurate with related experience).

Responsibilities:

Scholarship Program Administration

  • Develop, publicize, and manage approximately fifty domestic and international scholarship programs from inception through the post-award period.
  • Develop and maintain one aligned timeline for all scholarships, including open call, review, award, and post-award milestones.
  • Oversee the scholarship application review process, including reviewer coordination and monitoring review timelines. Maintain contact with scholars to track short and long-term award impact and member conversion and retention, as well as conversion to ACS Foundation donors.
  • Create and maintain dashboards and impact reports for scholarship programs.

Committee & Subcommittee Administration

  • Manage the activities of the Scholarship Committee.
  • Manage the activities of the International Relations Committee Scholarship Subcommittee.
  • Schedule committee and subcommittee meetings and conference calls; prepare agendas, meeting materials, and minutes.
  • Manage committee and subcommittee members, including communications, participation, and engagement.
  • Plan one in-person meeting for the Scholarship Committee and International Relations Committee Scholarship Subcommittee.
  • Track and oversee follow-up on committee and subcommittee projects, decisions, and action items.
  • Manage the call for volunteers and committee member volunteer information in Aptify.

Engagement & Communications

  • Support scholarship related activities across the ACS.
  • Use technology and digital platforms to improve engagement with scholarship applicants, recipients (including past recipients), and donors.
  • In conjunction with Integrated Communications staff provide scholarship-related content and ensure that the application information is easily accessible and centralized.
  • Provide Integrated Communications staff with scholarship-related content for stories about scholarship impact.
  • Develop marketing materials and communications to promote scholarship in conjunction with Integrated Communications.
  • Collaborate with Integrated Communications on marketing plans and promotional strategies.
  • Create impact reports for internal and external stakeholders.
  • Advise and assist scholarship recipients during Clinical Congress.

Financial Management & Reporting

  • Collaborate with the Foundation, Finance, and Executive Office to manage scholarship funds, including award distribution to scholars and institutions.
  • Ensure donor intent is fulfilled across all scholarship programs.
  • Develop and manage program budget.
  • Prepare financial reports for the Director, ACS Foundation, and the Finance Committee.

Data Management

  • Manage scholar records and program data in the Aptify database.
  • If needed, lead the selection and integration process of new software specific to scholarships.
  • Communicate scholarship recipient information (past and current) as well as current applicants for addition to Raiser's Edge database.
  • Create and maintain detailed SOPs to support scholarship administration and committee management.

Required Education and/or Experience:

  • Bachelor's degree from an accredited college or university is required.

  • 5+ years of experience in program administration, preferably in scholarships, in an education, or nonprofit setting. Experience with scholarship administration is required.

  • Experience managing committees and subcommittees.

  • Experience in program management or professional development programs.

  • Experience with budget management and reporting is preferred.

  • Experience with databases, CRM systems, and digital platforms preferred.

  • Strong organizational and project management skills with the ability to manage multiple priorities and deadlines.

  • Strong communication skills (written and verbal) are required.

  • Strong working knowledge of Microsoft Office products (Outlook, Word, Excel, and PowerPoint).
