Job Details

The Billing Specialist provides high-level billing and administrative support within a project-based accounting environment. This role partners closely with project managers to manage multiple projects, billing types, and deadlines while maintaining a high level of accuracy and organization.The position is responsible for overseeing job cost and billing data, preparing and issuing complex Time & Materials (T&M) and lump-sum invoices, and ensuring compliance with contract terms, client requirements, and internal controls. The Billing Specialist supports projects from setup through closeout and serves as a key point of contact for billing coordination, issue resolution, and process improvement.

Key Responsibilities

Assist with new project and job setup, including data entry, tracking, and reportingPrepare, review, and issue monthly draft and final invoicesMaintain accurate job cost, billing, and project data within accounting systemsOrganize and maintain confidential project records and filesReview and process invoices for accuracy and completenessPrepare and distribute scheduled and ad hoc reportsSupport monthly billing cycles and project closeout activitiesManage billing-related communication with internal teams and external clientsIdentify discrepancies and escalate issues to ensure timely and accurate billingProvide ongoing administrative and billing support to project managers

Minimum Qualifications

1–2 years of experience in billing, clerical, construction accounting, or job cost (T&M) accountingStrong proficiency in Microsoft Excel and Microsoft OfficeHigh attention to detail with strong data accuracy skillsEffective verbal and written communication skillsAbility to manage shifting priorities in a fast-paced environmentStrong analytical, mathematical, and financial tracking skills

Preferred Qualifications

Prior invoicing or billing experienceExperience supporting project managers in a project-based environmentDeltek experience preferred

Education

High school diploma or GED requiredAssociate degree in Business Administration or a related field preferred

Position is onsite for first 30+ days of training, then hybrid (2-days remote)
