Summary:
As a key member of the Americas Service organization, this role helps keep our field service team ready to support customers by making compliance requirements easier to navigate and manage. This role is ideal for someone who enjoys staying organized, solving problems, working across teams, and taking ownership of important details. You will be the go-to resource for third-party customer and contractor compliance sites, helping ensure required documentation is current and our field employees are approved to work at customer locations.
Principal Duties & Responsibilities:
3rd Party Compliance Management: Take ownership of third-party procurement, contractor, and safety compliance platforms such as ISNetworld, Avetta, and customer-specific portals, keeping requirements organized and up to date.
Customer Prequalification: Help our service teams get where they need to be by completing customer prequalification forms, questionnaires, and related requirements accurately and on time.
Certificates & Documentation: Coordinate certificates of insurance and maintain company, employee, and safety documentation so information is easy to find, accurate, and current.
Hours & Reporting: Keep onsite hour logs and other required customer or compliance reporting organized and current.
Safety Documentation: Support OSHA 300 logs, safety audits, and customer documentation, partnering with others to help meet regulatory and customer requirements.
Compliance Tracking: Stay ahead of expiration dates, open requirements, and corrective actions by proactively following up and helping keep accounts in good standing.
Cross-Functional Coordination: Build strong working relationships across Field Service, Safety, Human Resources, Finance, Legal, and other teams to gather information and resolve compliance needs.
Vendor & Customer Communication: Be a helpful point of contact for compliance vendors and customer representatives, answering questions and coordinating registrations, documentation, and account requirements.
General Administrative Support: Contribute to the success of the Americas Service team by maintaining records, coordinating information, and assisting with department needs.
Additional Responsibilities: As our business and team needs evolve, additional responsibilities may be added, including fleet support, event planning, and other administrative tasks, providing opportunities to learn, broaden your experience, and contribute in new ways.
Knowledge, Skills and Abilities Required:
- Comfortable using MS Office (Word, Excel, PowerPoint) and learning new web-based compliance and customer systems. Experience with ISNetworld, Avetta, or similar platforms is a plus, but not required.
- Strong organizational skills with the ability to manage multiple priorities, deadlines, and follow-up items.
- Excellent written and verbal communication skills.
- A proactive problem-solving mindset and good judgment when working through questions or compliance issues.
Educational / Experience Requirements
- Education: High School Diploma or equivalent required; additional education is welcomed but not required.
- Experience: Administrative, compliance, customer service, vendor coordination, or related experience is preferred. Experience in manufacturing or professional services is helpful, but candidates with transferable experience are encouraged to apply.
Compensation Information:
This position has a starting salary range of $33.00 to $36.00 per hour. Pay is determined by several factors, including a candidate's experience, relevant skills, and qualifications.
