Position Summary

The Administrative Legal Support Specialist will provide operational and clerical support to the Service and Judgment Departments within a high-volume Florida foreclosure practice. This position plays a critical role in ensuring timely workflow progression, accurate case management updates, compliance with procedural deadlines, and efficient handling of court filings and post-filing processes.

This role will support attorneys, paralegals, and department leadership by managing high-volume administrative tasks that directly impact case movement, client reporting, and operational efficiency.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

  • Electronically file pleadings, affidavits, motions, notices, and supporting documentation with Florida courts in compliance with jurisdictional requirements and filing deadlines
  • Process and coordinate service of court-filed documents, pleadings, orders, notices, and correspondence on all appropriate parties
  • Review incoming court orders and update internal case management systems to ensure proper routing, workflow progression, and deadline tracking
  • Update and maintain client systems and internal workflow platforms, including accurate step completion, status updates, and milestone tracking
  • Monitor department queues to ensure administrative and clerical tasks are completed timely and accurately
  • Assist with workflow progression for Service and Judgment files by ensuring required administrative actions are completed promptly
  • Coordinate document handling, uploading, downloading, saving, and organization within internal systems and client platforms
  • Assist with follow-up on outstanding filings, service issues, returned mail, and court processing deficiencies
  • Ensure compliance with firm procedures, court requirements, and client expectations related to filings, service, and case management updates
  • Support high-volume operational needs for both departments, allowing legal staff to focus on substantive legal work and case strategy
  • Perform general administrative and clerical tasks related to foreclosure workflow and case progression

Requirements

  • Prior legal administrative, foreclosure, litigation, or e-filing experience preferred
  • Familiarity with Florida court e-filing systems and service requirements preferred
  • Strong attention to detail and organizational skills
  • Ability to manage high-volume workflow in a deadline-driven environment
  • Strong written communication and follow-through skills
  • Ability to multitask and prioritize efficiently across multiple departments
  • Experience with case management systems, workflow platforms, or client systems preferred
