Job Description Summary

The Sr. Manager, CMMS Administration & Data Governance position is fully dedicated to a single, large, global financial services client. This position supports the client's North America portfolio spanning approximately 13 million square feet across owned and leased office and retail locations. The Sr. Manager, CMMS Administration & Data Governance is responsible for enterprise level governance, data integrity, and compliance oversight of the client's CMMS platform, REALM and associated integrated systems to support the client's complex real estate portfolio.

This role serves as the single accountable owner for CMMS data governance, system standards, and control frameworks. The role is responsible for ensuring accurate, complete, and compliant asset, work order, and maintenance data across office, retail, and critical facilities environments. The position functions as a centralized governance, enablement, and control role, partnering closely with operations, engineering, technology, and compliance stakeholders.

The role is foundational to KPI performance, contractual compliance, audit readiness, and financial outcomes by enforcing disciplined CMMS governance and data quality practices across the portfolio.

The Sr. Manager, CMMS Administration & Data Governance is responsible for enterprise level governance, data integrity, and compliance oversight of the client's CMMS platform, REALM and associated integrated systems to support the client's complex real estate portfolio.

This role serves as the single accountable owner for CMMS data governance, system standards, and control frameworks. The role is responsible for ensuring accurate, complete, and compliant asset, work order, and maintenance data across office, retail, and critical facilities environments. The position functions as a centralized governance, enablement, and control role, partnering closely with operations, engineering, technology, and compliance stakeholders.

The role is foundational to KPI performance, contractual compliance, audit readiness, and financial outcomes by enforcing disciplined CMMS governance and data quality practices across the portfolio.

CMMS Governance & System Ownership

  • Serve as the primary owner of the REALM CMMS governance model, including standards, controls, and change management across all modules (Assets, Work Orders, Planned Maintenance, Projects, Sustainability, and related integrations).

  • Own and maintain system governance documentation, SOPs, and control frameworks to ensure consistent use of REALM across all sites and asset types.

  • Act as the final authority for CMMS configuration decisions, data standards, and system change approvals impacting portfolio wide data integrity.

  • Data Governance, Quality & Compliance

  • Develop and maintain a formal CMMS data governance model, including ownership definitions, data standards, validation rules, and audit requirements.

  • Design and implement data quality routines, compliance checks, and recurring audits to ensure:

  • Asset records are complete, accurate, and current

  • Planned maintenance schedules align to asset criticality

  • Work order data supports KPI, compliance, and financial reporting

  • Establish ongoing monitoring and exception reporting to proactively identify data gaps, compliance risks, and systemic issues before they impact KPIs or audits.

  • Provide transparency to the client to illustrate how C&W is compliant with their requirements

  • Support internal and external audits by ensuring CMMS data integrity, traceability, and documentation readiness.

  • Asset Data & Change Control Processes

  • Design and implement controlled processes that allow field and operational users to request and update building and asset information, while maintaining governance, validation, and auditability.

  • Own the CMMS change control process related to:

  • New and closing sites

  • Asset additions, retirements, and lifecycle changes

  • Maintenance strategy updates and frequency changes

  • Ensure asset and building data is aligned with contractual requirements, operational standards, and compliance obligations across office and retail environments.

  • User Enablement, Training & Adoption

  • Develop and deliver role-based training for Subject Matter Experts (SMEs) and Super Users across operations, engineering, and compliance teams.

  • Own the training strategy and materials for CMMS users, including onboarding content, refresh training, and targeted enablement for new functionality or process changes.

  • Serve as the escalation point for complex system usage questions, governance exceptions, and cross functional CMMS issues.

  • Stakeholder Partnership & Operational Support

  • Serve as point of contact for the client on all items related to CMMS and other integrated systems.

  • Partner with Operations, Engineering, Technology, and Compliance leaders to ensure REALM supports evolving business and operational needs without compromising governance.

  • Partner with BI & Analytics to provide meaningful reporting to Operating and Engineering teams to enable better operational decisions and support service delivery.

  • Support portfolio level reporting, analytics, and insights by ensuring CMMS data can be reliably used for KPI tracking, financial protection, and operational decision-making.

  • Participate in transitions, enhancements, and platform improvements related to REALM and integrated systems.

Education/Experience/Training:

  • High School Diploma, GED, Trade, Technical, or Vocational school
  • Bachelor's Degree preferred

Work Experience

  • 7-10 years of experience
  • Specialized Knowledge/Skills
  • Deep experience with CMMS platforms

Competencies

  • Deep experience with CMMS platforms (REALM or Famis 360 preferred)
  • Proven expertise in data governance, system controls, and compliance frameworks
  • Experience supporting large, multi-site real estate portfolios across office and retail assets
  • Strong ability to translate operational needs into scalable system standards and processes
  • Excellent communication and stakeholder management skills across technical and non-technical teams
  • Strong problem-solving and analytical skills to identify and resolve system issues proactively.
  • Excellent communication and collaboration skills across cross-functional teams.
  • Familiarity with property management, facilities management, and compliance requirements.

Physical Demands/Environmental Work Conditions

  • Must be able to travel up to 15% of the time. Travel may vary in frequency and duration

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate's experience and qualifications.

The company will not pay less than minimum wage for this role.

The compensation for the position is: $ 103,955.00 - $122,300.00
