Role Overview

The Senior Program Specialist is a strategic execution partner embedded within Field and Supply Chain Operations, aligned directly to senior business unit leaders. This role exists to bring structure, momentum, and follow-through to the operating rhythms, programs, and cross-functional initiatives that keep the organization running effectively.

Senior Program Specialists do not "own the business," but they enable leaders to run it well-by organizing priorities, preparing forums, managing programs, and ensuring work moves from intent to execution. They operate at the intersection of strategy, operations, and delivery, balancing day-to-day operational support with project-based work tied to key business objectives.

This role requires strong judgment, executive presence, and the ability to work independently in a fast-moving, matrixed environment.

Key Responsibilities:

  • Business Unit Alignment & Operating Rhythm

  • Serve as the primary program and operations partner to assigned Field or Supply Chain leaders.

  • Support core operating rhythms, including:

  • Weekly, monthly, and quarterly business reviews

  • Leadership meetings, staff meetings, and organizational forums

  • Planning cycles, goal tracking, and performance reviews

  • Prepare agendas, pre-reads, run-of-show documents, executive-ready presentations, and post-meeting action tracking to ensure meetings are effective and outcomes are clear.

  • Drive follow-through on commitments, decisions, and action items, escalating risks or gaps as needed.

  • Program & Initiative Support

  • Support the execution of operational programs and initiatives aligned to business priorities (e.g., readiness efforts, process improvements, capability building, operational launches).

  • Partner with leaders to clarify scope, objectives, timelines, and success measures.

  • Coordinate cross-functional contributors, ensuring dependencies are understood and work stays on track.

  • Maintain program plans, milestones, and status updates; communicate progress clearly to stakeholders through written updates and presentation materials.

  • Identify risks, tradeoffs, and resourcing constraints early and help leaders navigate them.

  • Project Support

  • Provide project support across a portfolio of initiatives, ranging from short-term efforts to multi-phase programs.

  • Apply disciplined program management practices (planning, tracking, documentation) without over-engineering.

  • Support intake, prioritization, and sequencing of work to align with capacity and business goals.

  • Partner closely with Program Managers or PMO resources when initiatives require deeper project rigor.

  • Operational Excellence & Enablement

  • Create structure where ambiguity exists, organizing work, clarifying ownership, and improving visibility.

  • Develop templates, tools, and lightweight processes (including presentation templates) that improve consistency and efficiency across the organization.

  • Support change management by helping leaders communicate priorities, decisions, and expectations clearly.

  • Capture lessons learned and best practices to improve how programs and operating rhythms run over time.

Skills & Capabilities

  • Strong organizational and prioritization skills; able to manage multiple workstreams simultaneously.
  • High level of written and verbal communication, including comfort working with senior leaders.
  • Ability to translate strategic direction into executable plans and clear, compelling materials.
  • Sound judgment and discretion when handling sensitive information.
  • Comfort operating in ambiguity; proactive, solutions-oriented mindset.
  • Strong cross-functional collaboration skills and ability to influence without authority.
  • Advanced proficiency with PowerPoint and Keynote, including the ability to create executive-ready presentations, synthesize complex information into clear narratives, and maintain visual and messaging consistency.
  • Proficiency with common business tools (e.g., project tracking tools, documents, spreadsheets, presentations).

Experience & Qualifications

  • 5+ years of experience in program coordination, operations, project support, or a related role.
  • Experience supporting senior leaders or leadership teams in an operational environment.
  • Background in Field Operations, Supply Chain, Operations, or a highly execution-focused organization preferred.
  • Experience working in matrixed or fast-growing organizations a plus.
