Position Details

The College of Arts and Letters at The University of Tampa has an opening for a full-time Staff Assistant II to support the departments of Theater and Dance and Music. This position will be responsible for the day-to-day operations of the office in a fast-paced environment and provide customer service to students, faculty and staff. This position will work closely with multiple department heads and be located in multiple locations on campus. This position reports to the Dean and the administrative assistant.

Responsibilities

1. Provide administrative support to department chairs and faculty and administrative backup to the Dean's office, College of Arts and Letters.2. Assist the Events Coordinator with planning of special events and concerts.3. Onboard part-time faculty and ensure part-time faculty contracts are correct from semester to semester.

4. Oversee all departmental ordering, submission of supplier invoice requests, purchase orders, review faculty reimbursements and spend authorizations, and process stipends in Workday.

  • 5. Maintain, order, distribute, and reconcile departmental supplies.  
  • 6. Oversee student employment in conjunction with the Events Coordinator.
  • 7. Assist the chairs in developing the department course schedules and maintain accurate room usage records.
  • 8. Maintain detailed records of department budgets.
  • 9. Ensure payment and/or transfer of funds to cover stipends and period activity pay.10. Maintain general knowledge of departmental policies and catalog requirements for student/parent inquiries.11. Interface with faculty, staff and students in a professional manner.

    12. Contribute to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures and backgrounds.

    Qualifications1. High school diploma required, college degree preferred.

  • 2. Two (2) years skilled clerical experience.
  • 3. Working knowledge of office equipment.
  • 4. Ability to handle multiple tasks.
  • 5. Good oral, interpersonal and organizational skills needed as well as the ability to establish priorities and manage time wisely.  
  • 6. Knowledge of or the ability to learn quickly The University of Tampa software programs such as Workday and Microsoft Office.

    7. Willingness to embrace new technologies and innovative organizational practices.

    Work Schedule

  • Monday through Friday, 8:30 a.m. to 5:00 p.m.
  • Summer - Monday through Thursday, 8:00 a.m. to 5:30 p.m.
  • Some weekends and evenings may be required.
  • Anticipated start date: May 18
