The Supply Chain Coordinator - Field Inventory is responsible for coordinating, controlling, and reconciling investigational medical device inventory deployed at clinical trial sites. This role sits within the Supply Chain function and focuses on field-level inventory governance, logistics coordination, and system accuracy to support clinical trial execution.
The role partners closely with Clinical Operations, Field Clinical Specialists, Quality, and hospital materials management teams to ensure investigational devices are available, traceable, and compliant throughout the lifecycle of a clinical trial.

Key Responsibilities
Field Inventory Coordination & Control
- Provide oversight and accountability for field inventory of investigational devices, including inventory located at clinical trial sites, warehouses, and other field locations.
- Maintain accurate inventory records for field-deployed products, including receipts, issues, returns, quarantined, and released inventory.
- Monitor inventory levels, expirations, and usage trends; trigger replenishment to ensure trial readiness and continuity.
- Perform routine inventory reconciliations between physical counts, site accountability logs, and inventory systems; investigate and resolve discrepancies.
- Coordinate disposition of expired, damaged, unused, or returned investigational product in accordance with quality and regulatory requirements.
Logistics & Distribution Support
- Coordinate domestic and international shipments of investigational devices and accessories to and from clinical sites.
- Ensure shipping documentation, chain-of-custody, and regulatory requirements are met for all field inventory movements.
- Track shipments, confirm receipt, and proactively resolve delivery or customs issues impacting clinical procedures.
- Support clinical case scheduling by ensuring appropriate products are available at the site ahead of procedures.
Cross-Functional & Site Collaboration
- Act as a supply chain point of contact for hospital materials management teams regarding investigational inventory.
- Partner with Clinical Operations and Field Clinical Specialists to support site initiation, ongoing trial execution, and site close-out.
- Support audit and inspection readiness by ensuring field inventory records are accurate, complete, and inspection ready.
- Interface with Quality and Regulatory teams to ensure adherence to SOPs, GMP, and GCP requirements related to clinical trial materials.
Systems, Reporting & Process Improvement
Maintain inventory transactions and documentation within approved ERP/MRP and clinical inventory tracking systems.
Prepare routine and ad hoc inventory reports for Supply Chain, Clinical Operations, and Quality.
Identify opportunities to improve field inventory controls, logistics efficiency, and data accuracy.
Support development and maintenance of SOPs, work instructions, and training related to field inventory management.
Complete required GMP, GCP, and compliance training.
Skills, Knowledge, Experience, Qualifications
- Bachelor's degree preferred; equivalent experience considered.
- 3+ years of experience in supply chain coordination, logistics, or inventory control within the medical device industry, ideally supporting clinical trials.
- Direct experience managing field-based or consigned inventory at hospitals.
- Working knowledge of FDA, GMP, GCP, and ISO 14155 requirements related to investigational devices.
- Experience with ERP/MRP or inventory management systems; strong attention to detail and data accuracy.
- Strong coordination and communication skills across cross-functional and external stakeholders.

Compensation
Target base salary range: $28 - $33 / hr, plus annual incentive opportunity and equity eligibility. Final compensation will be based on experience and alignment with role requirements.
