Job Summary

Detailed Responsibilities:

The Supply Chain Project Management Coordinator provides high-level administrative support to the VP of Supply Chain while serving as a junior project manager for departmental initiatives. This role is responsible for keeping the VP's operations running smoothly while simultaneously tracking project timelines, coordinating cross-functional teams, and ensuring supply chain goals are met on time.

Support & Coordination:

  • Managing day-to-day scheduling of VPs calendars.
  • Coordinating with internal and external stakeholders at a high-level on behalf of the VP.
  • Ensuring that all logistical details are carried out seamlessly for internal meetings, off-site meetings, board meetings, and client meetings and presentations.
  • Producing entertainment activations and set up for meetings and presentations.
  • Booking business travel and actively monitoring for travel disruptions and any travel changes needed (this includes being available evenings and/or weekends).
  • Demonstrating utmost professionalism in communication via phone, email, and in-person interactions.
  • Committing to responsive and timely collaboration with the VPs team, clients, and multi-disciplinary leaders across the organization to foster strong relationships.
  • Providing clerical support including processing invoices and expense reports.
  • Facilitating and proposing ideas for effective follow-up notes, gifts, cards, and awards when needed.
  • Conducting research on partners and developing briefs for the VP and team.
  • Assisting in the development of world-class proposals and presentations with the ability to participate in creative brainstorming opportunities and contribute improvements to the process.
  • Promoting a cooperative work climate, maximizing productivity and morale while navigating a high-pressure and deadline-driven environment.

Junior Project Management:

  • Maintain and update project trackers, ensuring that supply chain initiatives stay on schedule and within scope.
  • Facilitate communication between different departments to ensure project milestones are met and bottlenecks are identified early.
  • Assist in the creation and editing of professional presentations for quarterly business reviews and board meetings.
  • Organize and lead project "status update" meetings, ensuring all stakeholders are clear on their next steps.
  • Execute special projects as assigned, from researching new vendors to planning large-scale department events or off-sites.

Relationship & Communication Management:

  • Draft professional emails, announcements, and follow-up notes on behalf of the VP.
  • Foster strong working relationships across the organization through timely and helpful communication.
  • Manage "culture" tasks such as organizing team awards, vendor gifts, and recognition programs to maintain high morale within the department.
