Summary:

PURPOSE:

Performs duties of inventory management, shipping and receiving and supply/equipment distribution to all areas at Supply Chain locations throughout the Nuvance Health Network in support of patient care and business operations from order receipt to point of consumption

Responsible for coordination and optimization of Store Room efficiency through collaboration with Purchasing, Warehousing operations and delivery vendors. Manages periodic replenishment of assigned par inventory locations and clinical equipment carts. Handles recall management.

Acts as onsite liaison for Supply Chain activities depending on location and scope of assigned

responsibilities. Researches, coordinates and manages goods received, stored and issued

ensuring compliant, cost effective inventory control and carries out these responsibilities in

accordance with the mission and values of our organization and high quality customer

service objectives. May be required to train and mentor new employees. 

Responsibilities:

Other duties may be assigned that relate to the daily operation of the department.

  1. Relating to the function of Materials Distribution, demonstrates effective use of Materials Management Information System (MMIS) and accounting activities to transact required inventory replenishment and receiving functions for inventory areas in accordance with compliance policy and department procedures for all hospital procured assets.
  2. In addressing the inventory replenishment function, checks, orders, fills and delivers inventory requirements on par and exchange carts and in supply rooms according to department procedures and the defined schedule in all assigned service areas. Transports goods to appropriate personnel/area within expected schedule as defined by management. Returns all undelivered, returned or outbound goods to designated return location with proper paperwork and procedures.
  3. For Shipping and Receiving activities, facilitates delivery of incoming and outgoing goods from distributors, vendors and freight management services, i.e., Fed Ex, UPS, etc., in accordance with departmental schedule, priority management, organizational mandates and customer requirements. Coordinates activities on the Loading Dock to stage and direct all incoming goods to correct location in a timely way. Responsible to work and operate all equipment and vehicles in a safe manner, providing timely reporting to management of any issues with supply chain, materials handling equipment, process or procedures.
  4. Demonstrates proficiency using personal and handheld computers and technology equipment to perform current state of Supply Chain activities.
  5. Maintains a clean and orderly environment for the Supply Chain Departments’ areas of responsibility. Complies with all Joint Commission regulations and Supply Chain standards for inventory storage including physical storage conditions, expiration date checking requirements and stock rotation and handling.
  6. Performs the activities required to manage inventory control, cycle counting and physical inventory to ensure compliance with departmental and compliance requirements. Reports discrepancies and irregularities to management. Verifies and monitors supply usage, manages and helps to solve for issues by expediting and follow-up with buyers, inventory control parties and management to insure continuity and timely availability of supply.
  7. Demonstrated ability and learning capabilities to perform activities in the SC MMIS in order to manage inventory, run and release necessary jobs and reports required to maintain adequate inventory/reorder responsibilities and maintain the fine tuning required to support the inventory levels and locations.
  8. Performs the Customer Service function through collaboration while supporting clinical, support service and management customers as the front line Supply Chain contact. Facilitates requests and provides information for referral to Supply Chain representatives to insure the continuity of Supply Chain services. Acts as a positive, service oriented staff member to assist with customer needs. Demonstrates an understanding of key Supply Chain functions to guide customers to the right contacts and resources as needed. Maintains an active contact list to refer customers to.
  9. Responsibility to attend all required education classes as outlined by Nuvance Health and comply with standards in accordance with hospital, Dept of Public Health and Joint Commission requirements.
  10. Demonstrated learning and capabilities in using the SC MMIS Systems and other systems deemed necessary to perform the essential functions required for defined job description, i.e., including but not limited to FedEx, UPS Trackpad, Infor Mobile Supply Chain, etc.
  11. Employee adheres to department dress code and wears Nuvance Health ID badge 100% of the time. 
  12. Maintains and modes Nuvance Health Values.
  13. Demonstrates regular, reliable and predictable attendance. Employee’s use of unscheduled absences does not affect the daily service of the department.
  14. Performs other duties as required. 

Education Skills Experience:

Education and Experience Requirements:

    • High School diploma or equivalent. Some college preferred.
    • Minimum of two years job related experience in a healthcare Supply Chain environment, clinical or support service department background with inventory experience or job related exposure, Warehouse inventory, Purchasing or receiving experience or equivalent experience.
    • Requires knowledge and ability to work in a detailed computer application, Materials Management or Supply Chain preferred.

Minimum Knowledge, Skills and Abilities Requirements:

    • Good communication and listening skills required due to daily and direct Customer contact.
    • Strong telephone and interpersonal skills required. Answers phone in a friendly, courteous and efficient manner.
    • Ability to communicate well in English both verbally and in writing.
    • Strong computer skills with knowledge of MS Office, Outlook, Excel and Word required.
    • Significant manual skill, motor coordination, and finger/manual dexterity.
    • Ability to comprehend information from printed, electronic or computer screen sources.
    • Excellent customer service skills and professional demeanor.
    • Demonstrates ability to work in teams and communicate effectively to support Supply Chain projects, initiatives and goals.
    • Responsibility to attend all required education classes as outlined by Nuvance Health and comply with standards in accordance with hospital, Dept of Public Health and Joint Commission requirements

License, Registration, or Certification Requirements:

·Valid CT or NY Driver’s License with clean driving record.
