POSITION DESCRIPTION

COUNTY OF HAMILTON, INDIANA

POSITION:  Support Services/Media Assistant

DEPARTMENT:  Sheriff

WORK SCHEDULE:  8:00 a.m.- 4:30 p.m., M-F

STATUS:  Full-time

FLSA STATUS: Non-exempt

HOURLY RATE: $29.8408 per hour

Incumbent serves as Support Services/Media Assistant for the Hamilton County Sheriff’s Office, responsible for designing materials for social media, annual reports, publications, community events, training and organizing department, and video productions.  

DUTIES:

Communicates, via phone calls, e-mails, and meetings with Department staff, including but not limited to legal advisor, training coordinator, public information officer, and coworkers in their absence or with assigned duties

Assists with social media sites such as Facebook, X, Instagram, Google Business, YouTube, Linked-In, Nextdoor, and TikToc, including posting traffic and closure updates to social media, collecting analytics, monitor messaging on all social media pages ensuring that information, tips, or request are sent to the appropriate division supervisor, designing recruitment posts, preparing press release material, organizing archived files for all social media sites, and assisting with Sheriff’s Office website and video, photography and videography.

Assists with planning, executing, and registering community involvement, especially recruitment events and videos.

Assists with digital design tools to develop digital forms, documents, flyers, and reports with HCSO branding guidelines. Designs and orders event signage, shirts, promotional material, and plaques. Sets-up annual apparel ordering for employees with the printing shops.

Answers multi-line telephone and greets office visitors, including providing information and assistance, taking messages, or transferring/directing to appropriate individual or department.

Assists with inquiries with different languages by using google translate or language line.

Assists with firearm registration inquiries and temporary beer and wine permits.

Serves as support for public relations, social media, and video production. Maintains social media platforms, producing and editing video content, and assisting with public education, community outreach, recruitment initiatives, and visual training content for staff.

Develops and maintains strong social media presence and brand, involving filming, editing, and producing high quality video and photo content for internal and external releases. Supports press activities, including writing press releases, organizing conferences and visually composing professional content. Collaborates with other agencies and city departments on public education and events.

Assists with record request, involving Freedom of Information Act (FOIA). Operates and maintains video, audio, and lighting equipment. Manages digital medial assets, including ensuring content meets broadcast standards.

Serves as notary public as needed.

Assists co-workers as needed or assigned, including fingerprinting, record requests, sorting mail and packages, and creating payment receipts.

Performs related duties as assigned.

I.  JOB REQUIREMENTS AND DIFFICULTY OF WORK:

Associates’ degree in communications, digital media, or related field and previous experience in social media assistance.

Possession of and/or ability to obtain and maintain a Notary Public license.

Must possess strong writing, digital marketing and graphic design skills. Ability to demonstrate successful content creation.

Working knowledge of standard office policies and procedures with computer skills, including word processing, spreadsheet, presentation, email, internet, social media, Google translate, language line, and Department-specific software systems, including but not limited to Microsoft software systems, Canva, Camtasia, Adobe Creative Cloud, telecommunication products, and ability to apply such knowledge to a variety of interrelated processes, tasks, and operations.

Working knowledge of and ability to properly operate and maintain video, audio, lighting equipment and to manage digital medial assets.

Working knowledge of video production, including filming, editing, and producing high quality video and photo content.

Working knowledge and understanding of platform algorithms.

Working knowledge of standard English grammar, spelling and punctuation, and ability to

prepare correspondence, design forms, flyers, documents, and prepare detailed reports.

Working knowledge of standard and media filing systems and ability to create and maintain accurate and organized files and records.

Ability to effectively communicate orally and in writing with co-workers, other County departments, various law enforcement agencies, courts, attorneys, vendors, media personnel, and the public, including being sensitive to professional ethics, gender, cultural diversities, and disabilities.

Ability to type with speed and accuracy, and properly operate standard office equipment, including computer, printer, scanner, multi-line telephone, fax machine, paper shredder, and copier.

Ability to provide public access to or maintain confidentiality of Department information/records according to state requirements.

Shall comply with all employer and Department policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.

Ability to understand, memorize, retain, and carry out written and oral instructions, present findings in oral or written form, and appropriately respond to constructive criticism.

Ability to work alone and with others in a team environment, and maintain appropriate, respectful interrelationships with co-workers, to work on several tasks at the same time, and complete assignments effectively amidst frequent distractions and interruptions.

Ability to competently serve the public and inmate population with diplomacy and respect, including occasional encounters with irate/hostile persons.

Ability to work extended hours, evening, weekend, and holiday hours.

As a condition of employment, all employees of the Hamilton County Sheriff’s Office are expected to comply with the agency’s Drug Free Workplace Policy.  Therefore, employees working in this position must follow all County policies and procedures with respect to drug and alcohol testing.  The policy requires random drug testing and the disclosure of certain drug prescriptions that are labeled as possibly affecting or impairing judgment, coordination, or other senses, (including dizziness or drowsiness), or which may adversely affect the employees’ ability to perform work in a safe and productive manner.

II.  RESPONSIBILITY:

Incumbent performs standard, recurring duties according to department and State policies and procedures. Incumbent receives general supervision, with priorities determined primarily by service needs of department personnel, and the public. Errors in incumbent's work are usually prevented through procedural safeguards and are detected through supervisory review or complaints from the public. Undetected errors may result in loss of time for correction and/or inconvenience to other agencies or the public.

III.  PERSONAL WORK RELATIONSHIPS:

Incumbent maintains frequent contact with co-workers, other County departments, various law enforcement agencies, courts, attorneys, vendors, media personnel, and the public, for the purpose of exchanging information and rendering service.

Reports directly to Support Division Supervisors.

IV.  PHYSICAL EFFORT AND WORK ENVIRONMENT:

Incumbent performs duties in a standard office environment, involving sitting/standing/walking at will, sitting for long periods, hearing sounds/communication, speaking clearly, keyboarding, close/far vision, reaching, bending, pushing/pulling/lifting/carrying objects weighing up to 50 pounds, crouching, kneeling, and handling/grasping objects. 

Incumbent is required to work extended hours, evening, weekend, and holiday hours.
