What You'll Do:

The Talent Operations Specialist is responsible for the operational and logistical needs of Wintrust Learning and Development initiatives, such as implementing, managing, and facilitating a variety of multifaceted tasks in the planning, development, organization, and delivery of all things learning. This can include but not limited to; coordinating training and events, supporting training and event logistics, maintaining accurate data and record keeping, vendor management and invoice processing. The Talent Operation Specialist will report to the Talent Operations Manager in Talent & Development and will closely collaborate with the LMS Administrator, , Talent Consultants, Talent Specialists, Programs, Talent Pathway partners and other niche areas in the HR Community to provide a best-in-class learner experience.

  • Partner with stakeholders to identify needs and requirements for various learning activities, events, or programs. Expectation is to collaborate and deliver best in class learner experience for while meeting the deliverables requested from the stakeholders from ideation of request all the way through to evaluation and reporting.

  • Responsible for coordination of training events, both virtual and in-person. This can include securing training locations, instructor/vendor management, room set up, and AV equipment, coordinating and ordering training materials, handouts, name tags, rosters, sign-in sheets, training evaluation forms, catering, if necessary. May be required to be onsite on the day of training.

  • Maintain inventory of training and program supplies; order and audit as needed.

  • Create and update customized communications and marketing materials to the programs, audiences, and communities participating in training events as deemed necessary.

  • Maintains accurate and up-to-date training information on talent pathways SharePoint site and team calendar. Manage ongoing site maintenance as need in collaboration with greater talent pathways Team.

  • Support Talent and Developments evaluation process, procedures, and survey technology.

  • In collaboration with talent pathways leadership, supports reporting on Talent and development activities. Provides timely reporting on training usage, completion, timeliness, and attendance for both pending and completed programs. Compiles information into effective presentations at request on daily, monthly, and quarterly reporting structure.

  • Maintain data tracking and records retention practices as established by talent pathways Leadership. Maintain clear filing and archive of talent pathways resources and data/ report management.

  • Responsible for invoice processing and relationship management for various vendor relationships utilized by the talent pathways department. Maintain clear filing and archive of invoices and contracts per talent pathways retention practices.

  • Support the Talent and Development team's outlined Intake Process Flow from operating committee through delivery and post-delivery logistics. Enhance or sustain existing standardization for Talent operations processes, procedures, and policies.

  • Manage and adapt learning activities, course creations, requests, and registration process with LMS administrator and Talent Consultants.

  • Partner with the talent pathways team to develop and maintain an annual training catalog audit process to ensure delivery of most up to date and relevant training.

  • Assist with shared responsibility of managing the Wintrust University mailbox. Provides support for training inquiries from employees and associates via phone, email, teams and in-person.

  • Facilitate as needed

  • Other projects as assigned.

Qualifications:

  • 2-4 years of related coordinating / administrative experience required

  • Bachelor's degree in Human Resources/Talent & Development or equivalent work experience encouraged.

  • Experience with change management and organizational effectiveness

  • Proven organization skills: ability to prioritize effectively and manage multiple tasks in an environment with competing demands

  • Experience establishing strong cross functional relationships, understanding business needs and clarifying program/project requirements

  • Excellent project management, and problem-solving skills as a self-starter.

  • Strong computer skills - Word, Excel, PowerPoint. Open to learning new programs around operational efficiency and well-known talent pathways technology.

  • Proficient with Microsoft Office (strong Excel and PowerPoint skills), SharePoint experience preferred.

  • Excellent communication skills both verbal and written

  • Excellent facilitation, presentation skills: ability to effectively present information and respond to questions from managers, staff, and vendors.

  • Experience with Learning management systems, or similar LMS experience a plus

  • Experience in Banking or Training Coordinator, Trainer, Training Facilitator or similar role a plus

  • Must be energetic with a passion for delivering and developing training and employees.

Compensation:

The estimated annual salary range for this role is $50,000-$65,000 along with eligibility to earn an annual bonus. Actual salaries may vary based on several factors, such as a candidate's qualifications, skills, and experience.
