Key Responsibilities

Payroll Tax Oversight & Reconciliation

  • Serve as SME on U.S. payroll tax matters, partnering with ADP and Payroll Accounting to monitor activity, resolve discrepancies, and ensure employee tax setups comply with federal, state, and local regulations.

Multi-State & Multi-Entity Compliance

  • Ensure compliance across multiple states and entities. Monitor regulatory changes, assess impacts to payroll operations, and collaborate with ADP and functional teams on tax setups and migration to production.

Tax Notices & Issue Resolution

  • Research, investigate, and resolve federal, state, and local payroll tax notices with ADP. Track issues through resolution, coordinate corrective actions with Payroll Accounting, and maintain documentation for audits.

Year-End and Quarter-End Processing

  • Support quarter-end and year-end payroll tax activities, including W-2 preparation, reconciliations, filings, reporting, and validation. Partner with ADP and the U.S. Payroll Tax Manager to ensure timely and compliant close.

Tax and Employee Setup, Changes & Testing

  • Collaborate on new payroll taxes, jurisdictions, and legal entity setups. Test and validate payroll tax setups and changes to ensure accurate migration to production. Ensure accurate tax treatment for employees in multiple states and assist with onboarding new states or localities.

Audits, SOX & Controls

  • Maintain payroll tax activities in accordance with SOX and internal controls. Prepare documentation to support control execution, audits, and testing.

Cross-Functional Collaboration & Team Support

  • Partner with payroll peers, Corporate Tax, and cross-functional teams. Serve as liaison between ADP, Payroll, Payroll Accounting, HR, and Finance.

Flexibility & Special Projects

  • Maintain flexibility in schedule to support peak periods, audits, system implementations, and special projects.

Qualifications

Required

  • Bachelor’s degree in Accounting, Finance, Business, or related field (or equivalent experience)
  • 12-15 years of U.S. payroll tax experience in a multi-state, multi-entity environment
  • Expert level of knowledge of all US tax regulations in all 50 states (federal, state, and local)
  • Experience with outsourced payroll tax providers, preferably ADP
  • Experience with reconciliations, tax notices, and audit support
  • Ability to manage priorities in a fast-paced environment

Preferred

  • Experience with large or complex payroll environments
  • Payroll accounting and general ledger knowledge
  • ADP GlobalView, Workday HR and UKG Workforce Management preferred
