Job Profile Summary
The Vendor Management Compliance Specialist (VMS) has overall responsibility for administration of the Vendor Management (VM) Policy and Program. This includes overseeing processes for maintaining vendor and contract compliance, including but not limited to maintaining Vendor Due Diligence and processing Vendor Contracts. Further, the VMS works closely with Risk, Information Security and Credit to determine vendor compliance and trains individuals/departments on the Vendor Management process. The VMS designs materials for the VM site on Knowledge Share and is responsible for maintaining the Vendor Management system as the primary administrator. This role provides information required by the Federal Reserve and Internal audit, and prepares all materials and reports for the Vendor Management Committee meetings. Requirements include strong organizational skills and the ability to prioritize and handle multiple projects. Must be knowledgeable of the Federal Reserve guidance for Vendor Management which establishes specific rules and guidelines. Strong written and verbal communication skills are required. The individual must be reliable, self-motivated and ability to multi-task.
Essential Functions/Responsibilities
- Direct and manage the administration of the Vendor Management function.
- Manage contract owners regarding their contracts/statements of work. Review and process contractual items and forward to Legal. Track contracts/SOW's in Legal Review.
- Enter vendor due diligence items into the VM database.
- Work closely with the Risk, Information Security and Credit departments to ensure adherence to the risk established due diligence review requirements.
- Train individuals and departments regarding Vendor Management policy and procedures. Design and update forms and materials on Knowledge Share site as required.
- Coordinate and administer the Vendor Management policy and program. Maintain associate adherence to the policy and program.
- Routinely maintain and update the VM system. Create, maintain and provide reports for queries as requested.
- Provide recommendations to the VM Policy and Program for consideration by the Vendor Management Committee. Determine VM Committee agenda items and provide reports and materials for Vendor Management Committee meetings.
- Provide items as required for VM Internal Audit, Federal Regulators (Federal Reserve) and FFB Sox compliance team.
- Works closely with IT to manage administration of VM Database to maintain groups, roles, user access, development projects, software updates, and more.
- Works closely with consultants on software upgrade projects.
Minimum Knowledge, Skills, and Abilities Needed to Perform Essential Functions of the Job
- 4-6 years of current experience in Vendor/Contract Management for a Financial Institution.
- Knowledge and experience in working with vendor sourcing and risk compliance with a thorough understanding of the Federal Reserve guidance governing Vendor Management for Financial Institutions
- Bachelor's degree from an accredited, four year college or university with an emphasis in business, finance or equivalent, or equivalent experience
- Above average knowledge of Vendor Management Policies and Procedures
- Project Management experience
- Proven Time Management skills
- Proficient in Microsoft Office Suite software products (Excel, Word, PowerPoint, Visio, and SharePoint)
- Working experience of Vendor Management software.
- Excellent organizational and planning, skills
- Good presentation and communication skills with above average written communication skills
Required Supervisory Responsibilities
- Performs team lead responsibilities such as training and monitoring Vendor Contract Management Associate.
Physical Requirements
- Remains stationary (sits or stands) for majority of the day
- Operates a computer for majority of the day
Compliance Statement
The associate is responsible for meeting all compliance requirements imposed on First Financial Bank by State and Federal law and regulation, as well as all related First Financial Bank policies and procedures. This includes all Bank Secrecy Act, Anti-Money Laundering, OFAC and Suspicious Activity reporting requirements, as well as all other lending and deposit compliance requirements.
Pay Range:
$58,000/year to $78,000/year
