Job Summary Supports the day-to-day operations of the Procurement Department in providing customer service to employee-owners across the organization through process ownership, project execution, and data intensive support. Resolves questions, applying knowledge of daily procurement operations including inventory, purchasing, sourcing, and costing. Navigates the organization, providing additional direction to complex inquires. Enters detailed information for requests into a tracking program and ensures resolution in a timely manner. Responsibilities Essential Functions Provides customer service to procurement inquiries and requests coming through phone calls, e-mails, instant messages, and other forms of communication. Develops and maintains effective working relationships with the organizations branches, procurement department teams, and other internal departments. Resolves questions, applying knowledge of day-to-day procurement operations including inventory, purchasing, sourcing, and costing. Questions may include: material information, identification and availability, vendor contact information, purchase order tracking and updates, vendor and customer costing inquiries, cost/price adjustment coordination and documentation, transfer route and buy schedule information. Logs, completes and/or coordinates incoming requests. Responsible for master data execution for materials and vendors, adhering to established data standards. Responsible for maintenance, coordination, and support of key, reoccurring and data intensive processes. Provides responsive and effective support for ad-hoc project requests, database process and ERP query maintenance needs. Executes upon assigned data intensive projects. Collaborates with business units on their preferred deliverables and effective implementation across their areas. Provides internal cost excellence process improvement opportunities to the organization. Includes automation, collaboration, and elimination of process steps internally to our team as well as externally to the business units we support. Non-essential Functions Assists in time of acquisitions, mergers, conversions, branch openings, customer implementations, and master data initiatives. Assists on other data intensive projects across other business units of the company. Writes or revises process instructions and procedures to document new and existing processes. Completes required trainings as needed. Performs other duties as assigned by supervisor or designate. Qualifications Minimum of a four-year business, technical, engineering, MIS or supply chain degree preferred or equivalent in work experience. Prior supply chain, business/data analyst, customer service, or relevant work experience with knowledge of operating a variety of office equipment preferred. Prefer strong working knowledge of PC for Windows and Microsoft Office (Outlook, Excel, Access, Word, PowerPoint, SharePoint, and Teams). Strong proficiency in Access, Excel, or SQL a plus. Skills and Abilities Strong customer service skills including core service standards of being competent, accurate, responsive, and engaged. Excellent interpersonal, written, and verbal communication, presentation, and analytical skills. Planning, organizational, and time management skills. Data and analytical skillset a plus. Passion for process improvement. Ability to work independently and with initiative.
