Job Description
Summary:
The Executive Administrative Assistant will provide high-level administrative support to members of the Executive Management Team, ensuring seamless daily operations and facilitating strategic initiatives. This role is responsible for managing executive schedules, coordinating meetings and events, and handling critical communications. The individual must demonstrate professionalism, confidentiality, and exceptional organizational skills while fostering a positive work environment.
Core Functions:
- Serve as the primary administrative support for members of the Executive Management Team.
- Manage and coordinate executive calendars, scheduling meetings, travel arrangements, and conference logistics.
- Facilitate meetings by preparing agendas, compiling documentation, coordinating participants, and tracking action items.
- Prepare executive reports, presentations, financial reviews, scorecards, and other key performance indicators.
- Draft, edit, and distribute internal and external communications with professionalism and accuracy.
- Handle confidential and sensitive information with discretion and integrity.
- Champion employee-owner communications and company programs, including budgeting, event coordination, and tracking performance for initiatives such as GivingBack, Shine, chaplaincy programs, and team-building activities.
- Support front desk and reception activities as needed, ensuring professional and friendly interactions with visitors and employees.
- Assist with processing invoices, purchase requisitions, and administrative documentation.
- Organize and maintain records, files, and documentation in compliance with company standards.
- Execute strategies to enhance workplace morale and promote a positive work environment.
- Lead continuous improvement initiatives and assist in the development and implementation of new processes, including drafting Standard Operating Procedures (SOPs).
- Coordinate and support company events, ensuring smooth execution and engagement.
- Requires business travel of 2-3 days per quarter on average.
- Perform other duties and special projects as assigned.

Education & Experience:
Minimum Required:
- Bachelor's degree in a related field and five years of relevant administrative experience, or an equivalent combination of education and experience.
Physical Demands & Work Environment:
Work is performed in an office environment. This role will routinely utilize standard office equipment to perform the core functions listed in this job description. This position requires the ability to occasionally lift office products and supplies as well as communicate verbally and electronically. The work is primarily sedentary and requires extensive reading to perform the core functions listed in this job description. The noise level in the work environment and job sites can be loud and in a non-temperature-controlled environment. While performing the core function of this job, the employee is regularly required to talk, hear, stand, and required to lift to 35 lbs. This position is primarily working around machinery with moving parts, working around moving objects or vehicles. The employee is frequently required to walk, use hands to finger, handle or feel, reach/pull/push/grab with hands and arms, kneel, and crouch, twist and bend. The employee is occasionally required to sit, climb or crawl.
