JOB DESCRIPTION Receptionist

• Answer all incoming phone calls within 3 rings and route calls to appropriate staff members, being courteous and friendly. Understand the business cycle and staff needs in relationship to routing calls, Teams messaging, and voicemail when appropriate.
• Greet all incoming guests, creating a lasting impression on everyone you encounter.
• Maintain the PIPAC Office Calendar and being mindful of events and appointments that affect the availability of staff members.
• Process daily outgoing mail and agent supply orders.
• Maintain office/kitchen supplies and order as needed.
• Perform administrative agent relations tasks including but not limited to: processing co-op submissions, agent award reporting, agency card correspondence, CE materials preparation, and data entry for various departments.
• Maintain neat and organized office space including the front desk, mail room, conference room, and GAP office.
• Must be capable of regular and predictable attendance to perform job tasks.
• Other clerical projects and duties assigned.
