About the Job

Colorado Christian University (CCU) seeks an Office Coordinator for the School of Music (SMU) within the College of Undergraduate Studies (CUS). This position supports the Dean of the School of Music in advancing the School's mission to passionately pursue excellence to the Glory of God.

The Office Coordinator assists the Dean and faculty with the daily management and operations of the SMU. Key responsibilities include coordinating logistics for major events such as the Annual CCU Christmas Celebration, Band Tour, Choir Tour, Women's Choir Tour, and Gala Honor Recital; developing and managing course schedules; overseeing budgets; and supervising student workers.

Job Location

Fully on-site - must reside and work legally in the U.S. Regular work location: Lakewood, Colorado.

We're looking for candidates who have:

  • Bachelor's degree preferred.
  • Demonstrated experience in administrative or office support role.
  • Experience in music or theatre, either onstage or in a production/technical capacity.
  • Strong organizational skills with the ability to coordinate multiple projects, events, and deadlines simultaneously.
  • Proficiency in office software, and database management systems.
  • Excellent written and verbal communication skills, including professional correspondence and stakeholder coordination.
  • Experience supporting teams, supervising student workers or staff, and coordinating workflows.

Key Job Duties

Mission Contribution

Contribute to CCU's mission of Christ-centered higher education transforming students to impact the world with grace and truth. In this role, the School of Music Coordinator advances the mission by supporting the School of Music's efforts to passionately pursue excellence to the Glory of God, enabling students and faculty to grow academically, spiritually, and artistically.

Administration

  • Oversee academic assessments, program reviews, and NASM self-study and reporting.
  • Maintain and update all School of Music documents, including the Music Handbook and Policy Manual.
  • Manage budgets, reconcile credit card transactions, and process faculty contracts, including affiliate and overload agreements.
  • Build course schedules, track course rotations, update degree plans, and file catalog changes.
  • Coordinate meetings and communications for the Dean and School of Music faculty.

Student, Event, and Performance Coordination

  • Coordinate faculty and affiliate faculty support, including travel logistics, onboarding, and daily operational assistance.
  • Track and advise incoming and current students, manage scholarships, and oversee student assessments, including theory placement exams, mid-degree screenings, and senior exit interviews.
  • Serve as liaison for prospective students, managing inquiries, communications, and initial outreach.
  • Build and maintain the School of Music performance calendar, coordinating events around university schedules.
  • Plan and execute major performances and events, including the Music Scholarship Gala, Senior Brunch, Christmas Concert, Chapel, and guest artist appearances.
  • Oversee all event logistics, including stage setup, technical support, livestreams, chair rentals, and concert program coordination.
  • Manage ensemble operations and tours (Band, Choir, Women's Choir), including booking buses, hotels, drivers, housing packets, and tour logistics, and travel with ensembles as needed.
  • Manage attire and performance materials for ensembles, including tuxedos, dresses, folders, and shirts.
  • Coordinate music-related university events, including CUS and CAGS commencement ceremonies, prelude performances, and Board of Trustees events.
  • Oversee student worker assignments, hours, and budgets, including supervision of music ensemble libraries, building organization, and special projects.
  • Maintain instruments, equipment, and facilities, including tracking inventories, filing insurance records, and managing the Armstrong Center.
  • Coordinate donor-related activities, including invitations, award creation, and scripting for award presentations.
  • Perform other duties as assigned to support the operational and mission-driven goals of the School of Music.

Work Environment

While performing the duties of this job, you may be required to walk, stand, sit, reach with hands and arms, balance, stoop, speak with clarity, and have appropriate vision and hearing capabilities. The employee must occasionally lift and/or move up to 25 pounds. You may be required to work occasional irregular hours, including some nights and weekends.

Pay and benefits will be discussed in more detail as candidates progress through the interview process. The pay range for this job is: $19.23 - $21.15 per hour. Pay is assigned by reviewing a combination of job-related factors that may include: internal/external pay equity, the salary structure/pay grade, or a candidate's qualifications/experience for the job. A wage range posted is not a guarantee of a specific wage and CCU reserves the right to make pay decisions based on economic and equity considerations.
