Job Description
Position Summary:
The Data Entry Specialist is responsible for accurately entering, reviewing, and maintaining patient, insurance, and billing information within the laboratory information system and billing platforms. This role supports the pathology billing team by ensuring timely and accurate claim processing while maintaining compliance with HIPAA and laboratory regulations.
Essential Functions:
To perform effectively in this role, the candidate must fulfill the following duties with or without reasonable accommodations:
- Enter patient demographics, insurance information, pathology charges, and billing data accurately into laboratory and billing systems
- Review requisitions, pathology reports, and supporting documentation for completeness and accuracy
- Verify insurance information and ensure proper billing codes are entered
- Correct data entry errors and resolve discrepancies in a timely manner
- Assist with claim preparation, charge entry, and invoice processing
- Maintain confidentiality of patient health information in compliance with HIPAA regulations
- Scan, upload, and organize billing documentation electronically
- Monitor work queues and ensure billing deadlines and turnaround times are met
- Support the billing department with administrative and clerical duties as needed
- Organize and file pathology slides in order by case number
Knowledge, Skills, & Abilities:
- High school diploma or equivalent required
- Previous data entry, medical billing, or healthcare administrative experience preferred
- Experience in a pathology laboratory or medical laboratory setting is a plus
- Knowledge of medical terminology, CPT/ICD-10 coding, and insurance processes preferred
- Proficient in Microsoft Office and data entry systems
- Strong attention to detail and organizational skills
- Ability to maintain accuracy while working in a fast-paced environment
- Excellent communication and time management skills
- Experience with laboratory information systems (LIS) or electronic medical records (EMR)
- Understanding of pathology specimen workflow and billing requirements
- Ability to multitask and prioritize effectively
