Job Details

The Project Billing Specialist will be responsible for managing the billing process across a portfolio of projects, partnering closely with Project Managers, Accounting, and Operations to ensure invoices are accurate, timely, and aligned with project contracts.

The ideal candidate will have hands-on experience with Deltek Vantagepoint or Vision, understand AEC project billing practices, and be comfortable working with project managers to resolve billing issues.

ResponsibilitiesPrepare and process monthly and recurring project invoices in Deltek Vantagepoint / VisionReview project financial information, including labor, expenses, billable costs, and contract termsEnsure invoices are accurate and submitted according to client requirements and billing schedulesWork closely with Project Managers to review project budgets, billing status, and outstanding itemsTrack WIP, unbilled revenue, retainage, and accounts receivableResearch and resolve billing discrepancies and project accounting issuesReview time and expense entries for accuracy and proper project codingSet up and maintain project billing information within the ERP systemAssist with contract modifications, change orders, and project closeout billingMonitor outstanding invoices and assist with collections and accounts receivable follow-upPrepare billing reports and provide project financial information to Project Managers and leadershipMaintain accurate documentation and ensure compliance with internal billing proceduresSupport month-end and year-end close activities related to project billingIdentify opportunities to improve billing processes, reporting, and efficiency

Qualifications2+ years of experience in project billing, project accounting, or billing coordination, preferably within an AEC, architecture, engineering, or construction environmentHands-on experience with Deltek Vantagepoint and/or Deltek Vision is strongly preferredUnderstanding of WIP, project accounting, percentage of completion, retainage, and unbilled costsStrong understanding of project-based billing and contractsAdvanced attention to detail and strong organizational skillsAbility to manage multiple projects and competing deadlinesStrong Excel skillsExcellent communication and interpersonal skillsAbility to work effectively with Project Managers, accounting teams, and clients

Preferred ExperienceExperience working within an architecture, engineering, construction, or professional services firmExperience with Deltek Vantagepoint / VisionFamiliarity with time & expense management and project accountingExperience with monthly project billing cycles and month-end closeExperience working with fixed-fee, T&M, cost-plus, and other project billing structures
