Job Description
Your Role:
The Paralegal Assistant plays a key role in supporting the Trademark Paralegal team. This role assists with the preparation, prosecution, and maintenance of all types of U.S. and foreign trademark matters and helps manage general overflow projects as assigned by the trademark prosecution support team. You will ensure timely and accurate handling of client and foreign associate communications, maintain electronic and physical files, and support the team in meeting deadlines and client expectations.
Your Impact:
- Trademark Formalities & Documentation: Learn and execute formalities requirements for major foreign trademark offices. Review foreign associate emails for formalities requests, prepare and send formal documents to clients, order certified copies of priority documents, and track all documents from intake to confirmation by foreign associates within specified deadlines.
- Correspondence & Client Communication: Prepare and review correspondence with foreign associates and clients regarding new applications, formal requirements, filing details, and updates. Assist with reporting status and deadlines to clients.
- Portfolio & Docket Management: Prepare client portfolio reports and associated docket reports. Maintain accurate electronic files in the document management system and handle original documents as needed.
- Project & Team Support: Provide general support to the Trademark Paralegal team, including docket management, data collection, reporting, and special projects. Assist with client-related initiatives and ad hoc assignments as needed.
- Process Improvement & Quality Control: Support ongoing process improvements, standardize procedures, and ensure accuracy and consistency across all trademark records and filings.
YOUR SKILLS:Required:
- High school diploma or general education degree; Bachelor’s degree preferred
- Trademark prosecution experience or training in a law firm or in-house setting preferred
- Experience with electronic research tools and trademark prosecution filing systems
- Strong knowledge of Microsoft Office Suite (Word, Excel, and PowerPoint)
- Exceptional attention to detail with the ability to maintain a high level of accuracy and low error rates.
- Strong organizational, analytical, and problem-solving skills with the ability to manage multiple projects and shifting priorities.
- Excellent verbal and written communication skills; able to interact effectively with individuals at all levels of the Firm.
- Ability to exercise sound judgment, maintain confidentiality, and use discretion at all times.
- Demonstrated initiative, accountability, and ability to work independently with minimal supervision.
- Ability to adapt to changing job responsibilities based on the strategic goals of the Firm.
- Willingness and flexibility to work before or after standard business hours when necessary to meet firm demands.
Preferred:
- Prior experience in intellectual property law, trademarks, or related legal support functions
