Position Title Patient Registration Representative -- Indian Creek Hospital Admitting Indian Creek Main Position Summary / Career Interest: The Patient Registration Representative is responsible for Inpatient/ Outpatient registrations for the Health System. Obtains proper patient identification, demographics and financial information to adequately register and secure the patient encounter. Responsible for POS collections as required. Maintains a constant focus on providing excellent customer service to patients/ families and a professional image. Responsibilities and Essential Job Functions Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department. Monitors schedule daily for patients arriving at the department for the day if applicable. Responsible for admitting/registering scheduled and non-scheduled or emergent patients for the assigned department. Conducts bedside admission on patients who are direct admits to the unit as needed. Obtains identification to assure accuracy of demographic and insurance information. Enter information in computer system with correct spelling of patient name and diagnosis, date of birth, social security number, employer, guarantor and correct medical record number. Greets patient and/or relative. Interviews and obtains or rechecks pertinent information. As required, collects co-payments or deposits as appropriate for service being rendered. Responsible to balance cash drawer as part of the end of the day process. Explains facility policies and ensures patient and/or relative understands and signs the consent for treatment, and insurance forms at the appropriate time. Clear and accurate documentation should be entered on the appropriate forms and keyed into the computer system. Complies with Medicare/Medicaid and other insurance rules and regulations. Completes MSPQ as required for admission. Attends and participates in staff training or education which relates to their position and would contribute to their knowledge. Responsible for the inventory and release of patient valuables placed in the safe following all requirements as described in the department policy as needed. Provide coverage as requested in all areas of Admitting following established guidelines. Knowledgeable of administrative policies, department procedures, third party coverage and required admission and insurance documents. Responsible for other duties or projects, which are assigned by Management. These may include special projects, telephone coverage, filing, scanning, copying and other duties as instructed. Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department. Responsibilities and Essential Job Functions Distributes clean linen and collects soiled linen throughout KUMC. These areas include all patient care units, ICU Units, Bone Marrow Unit, Burn Unit, Emergency Room, Hyperbaric, Radiology areas, Physical Therapy, Surgery, Same Day Surgery, Central Sterile, Dialysis units, Accommodation rooms, Orthodics, OBGYN clinic, Outpatient Suites, Outpatient Surgery clinic, Family Medicine clinic, Sports Medicine clinic, Kirmayer Fitness Center, School of Nursing, Children's Development Unit, Peds Clinic, Dietary, Housekeeping, and other units and clinics throughout the facility. Reports linen shortages, damaged linen, and poor quality of linen to supervisor immediately. Transports linen exchange carts and bulk delivery carts throughout the facility seven days a week. Replaces previous day's exchange cart with a fresh cart stocked with a new 24-hour par level of linen each day. Takes used exchange cart, from the previous 24 hours of usage, down to the linen room to be restocked for the next day. Makes floor rounds as assigned to insure that adequate linen supply is maintained throughout the course of the day. Makes adjustments to linen quotas as necessary to accommodate a higher census, increased demands, or unpredicted higher usage practices. Communicates with the customer in the unit or clinic upon delivery of clean linen to notify them that a delivery has been made and to see if they agree with the linen quotas that have been delivered. Upon delivery, asks the customer to sign a delivery ticket in order to have a record of the delivery. Collects soiled linens as assigned using designated covered transport carts. Transports all soiled linens to the designated storage area. May be asked to sort soiled linens for processing at KU in special cases but the bulk of soiled linen items are processed at an outside vendor. Wears proper protective equipment when handling soiled linens. Follows proper infection control procedures when handling soiled linen. Operates a washer and dryer for the processing of soiled linen items. Follows the proper usage instructions for using laundry chemicals and laundry equipment operations. Cleans lint trap in the dryer and cleans the dryer itself as as needed. Follows proper safety and operating procedures. Answers the telephone in the linen department using good customer services skills. Receives linen orders via telephone and is responsible to insure that these linen orders are filled in a timely fashion. Communicates to customer an expected delivery time and delivers linen on or before the expected delivery time. Any delays or variances from the normal or agreed upon delivery time must be communicated to the customer. Could be asked to carry a pager or radio and is responsible for handling requests in the same manner as telephone orders. Pages must be answered immediately and all radio communication and telephone communication must be handled in a professional and responsive manner. Serves walk in customers at the linen department window and issues lab coats, scrubs, uniforms, or other items. Receives soiled lab coats, scrubs, and other items that are dropped off at this window. Documents all transactions at the linen department service window using the designated control log. Assists the department in completing linen inventories and usage studies. Assists the department in completing customer surveys. Promotes patient wellness and a positive public relation image to our public, and all Medical Center personnel. Shows consideration in interaction with co-workers/patients/visitors/ancillary departments. Cooperative in temporary assignments. Offers assistance to other staff members in completing assignments. At the KU location the sonographer completes appropriate TEE probe cleaning and disinfecting. Performs professional, clinical and technical competencies of assigned location, but not limited to assigned shifts and be readily available when scheduled to perform on-call echocardiographic services as assigned to provide emergent echocardiographic services under the direction of a cardiologist. Demonstrates the ability to identify and evaluate the appropriate anatomical and physiological consequences that would be consistent with disease processes. The sonographer needs to be able to adapt the routine protocol to accommodate a wide range of patients and disease-states, making each exam individual and unique. Any additional enhancements that would provide beneficial information are initiated with the sonographer unless otherwise noted by the ordering physician. Demonstrates both cognitive and psychomotor skill sets in the area of cardiovascular disease states. These skill sets are necessary to accurately and efficiently obtain the appropriate echocardiographic ultrasound images and hemodynamic information as appropriate. Organizes the acquired data in the appropriate sequence that will accurately represent the patient's condition to the interpreting physician. In the presence of critical values the sonographer must display competence in identifying, documenting and communicating this to the interpreting physician. Working closely with the interpreting physician in interpretive sessions, assisting in the evaluation of data and contributing relevant technical information. In accordance with the departmental QI program; the sonographer must provide quality, constructive feedback on peer to peer case study review as assigned; return QI studies to the technical director or their designee in a timely manner. Assists in maintaining efficient patient flow through the department, working as an active participant with the other members of the team. Responsible for completion of mandatory educational assignments as outlined by the departmental director. Participates in the education and training of sonographer students, residents, medical students and fellows, providing instruction in the area of cardiovascular ultrasound procedures. Assess the need for LVO contrast and bubble studies during echocardiography studies. Administer and properly document IVs, LVO contrast, and bubble studies when performed. Assists with the assessment and maintenance of the equipment log. Make service calls when needed in a timely manner, resolve the issue, and document in the appropriate log. The sonographer must notify director/manager of issue in a timely manner. Maintains cleanliness of supplies, stocks linen and empties laundry on a daily basis. The Patient Registration Representative is responsible for Inpatient/ Outpatient registrations for the Health System. Obtains proper patient identification, demographics and financial information to adequately register and secure the patient encounter. Responsible for POS collections as required. Maintains a constant focus on providing excellent customer service to patients/ families and a professional image.

Responsibilities and Essential Job Functions

  • Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department.
  • Monitors schedule daily for patients arriving at the department for the day if applicable.
  • Responsible for admitting/registering scheduled and non-scheduled or emergent patients for the assigned department.
  • Conducts bedside admission on patients who are direct admits to the unit as needed.
  • Obtains identification to assure accuracy of demographic and insurance information. Enter information in computer system with correct spelling of patient name and diagnosis, date of birth, social security number, employer, guarantor and correct medical record number.
  • Greets patient and/or relative. Interviews and obtains or rechecks pertinent information.
  • As required, collects co-payments or deposits as appropriate for service being rendered.
  • Responsible to balance cash drawer as part of the end of the day process.
  • Explains facility policies and ensures patient and/or relative understands and signs the consent for treatment, and insurance forms at the appropriate time. Clear and accurate documentation should be entered on the appropriate forms and keyed into the computer system.
  • Complies with Medicare/Medicaid and other insurance rules and regulations.
  • Completes MSPQ as required for admission.
  • Attends and participates in staff training or education which relates to their position and would contribute to their knowledge.
  • Responsible for the inventory and release of patient valuables placed in the safe following all requirements as described in the department policy as needed.
  • Provide coverage as requested in all areas of Admitting following established guidelines.
  • Knowledgeable of administrative policies, department procedures, third party coverage and required admission and insurance documents.
  • Responsible for other duties or projects, which are assigned by Management. These may include special projects, telephone coverage, filing, scanning, copying and other duties as instructed.
