Job Details The Program Coordinator provides administrative support to the Nurse Anesthesia Chair and Program (NAP) Administrator, staff, and students on a daily basis. The role of the Program Coordinator is multifaceted and requires a high level of organizational skill. The Program Coordinator in conjunction with the administrative program staff provides the day-to-day oversight required for an accredited nurse anesthesia educational program. Job Description Essential Functions Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson. Provides comprehensive administrative, managerial, and clerical support to the Nurse Anesthesia program and Program Director to ensure smooth day-to-day operations Manages incoming and outgoing communication, including calls, emails, memos, letters, and messages, using proper etiquette and timeliness. Transcribes and formats professional documents as needed. Maintains accurate, up-to-date student administrative and clinical files, including licenses, certifications, academic progress, and evaluations. Prepares and distributes monthly student calendars, schedules didactic instruction, clinical rotations, exams, meetings, and events such as graduation and seminars. Schedules, proctors, and maintains records for student exams, evaluations, and licensure processes, including self-evaluation and employer feedback post-graduation. Coordinates application processes, arranges interviews, manages applicant files, and processes onboarding paperwork for new students in collaboration with the Program Director. Processes application and tuition payments, generates invoices, manages check requests and purchase orders, and coordinates financial documentation with the hospital’s finance department. Maintains adequate inventory of office and academic supplies, coordinates equipment maintenance, and ensures a clean, professional learning and administrative environment. Coordinates faculty schedules, meetings, materials, and correspondence. Manages lecture schedules, contracts with didactic instructors, and ensures timely distribution of educational content. Ensures compliance with institutional policies, protects student confidentiality, and maintains secure, organized recordkeeping and workspace environments. Manages backup of digital files, keeps Typhon system updated, and maintains databases, contact lists, and communication logs for program operations. Demonstrates initiative, professionalism, teamwork, and sound judgment. Acts as a liaison between students, faculty, and external stakeholders while upholding the values and integrity of the program. Competencies (Knowledge, Skills, and Abilities Required): Requires the demonstrated knowledge and skill necessary to coordinate all aspects associated with program management based on the physical, psychosocial, educational, safety and related criteria, appropriate to the age of the staff, faculty and student body under the supervision of the Program Director. The skills and knowledge needed to provide such coordination may be gained through education, training, or experience.
